A. JOB PROFILE:

B*. GENERAL PURPOSE OF POSITION: *
The Assistant Manager provides functional support for the Property Manager and Leasing. This position acts as manager in his/her absence according to the guidelines established by GB and leases as needed.
C. SUPERVISORY DUTIES:
Perform duties of the manager in his/her absence.
D. ORDINARY DUTIES: (include but are not limited to)
1. Bookkeeping functions up to and including rent collections, deposits and posting of rents.
2. Reporting functions include preparation of weekly vacancy and Market Survey reports, other weekly and monthly reports, as well as preparation of 3-Day demands and delinquency reports. Assist in processes of invoices, lease renewals, (FAS) final account statements and any other reports requested by the Property Manager.
3. Assist Leasing Consultant as necessary to answer phone, set appointments, show and lease apartments and enter all traffic in computer.
4. Cheerfully greeting the public, either by telephone or in person, with a helpful attitude.
5. Reviewing all qualifying information on applicants for residency. Make application decision on Accept with Conditions using GB standards in absence of Property Manager (only the Property Manager or District Manager may override a denied report).
6. Review and approve lease packets in absence of Property Manager.
7. Track all telephone, Internet, and walk-in traffic to assist in marketing/advertising focus. Assist at least quarterly in writing the monthly narrative and gathering monthly reports.
8. Assist in preparing all paperwork pertinent to each new or renewal lease agreement.
9. Lease Renewal Letters - prepare rates as approved by Property Manager and send letters by 15th of each month. After letters are sent, follow up before close of books to obtain the renewal.
10. Preparing market survey reports monthly. Recommend rental rate adjustments or concessions based on market survey results.
11. Immediate pick up of any type of litter from any exterior or common area to maintain sharp appearance.
12. Checking models, office, and recreational facilities on a daily basis and schedule clean up or repairs as needed.
13. Assist in training Leasing Consultant to improve/meet 90% shop rate.
14. Shopping competition in person (minimum annually) to assist in recommendations regarding rental rates, rent specials, security deposits, etc.
15. Assisting in the preparation of community newsletter and social media sites to support the resident retention program.
16. Attend appropriate managers’ meetings and phone conferences to advance knowledge in management.
17. Assist with gathering data and helping prepare the annual budget.
18. Complete education requirements for current position; take additional in-service classes both through GB University, Grace Hill, local Apartment Associations, etc. to improve management/leadership skill sets.
19. Review monthly financials with Property Manager to understand process.
20. Further advance skills and knowledge by obtaining the CAM certification (one year as Assistant Manager or upon promotion to Property Manager).
21. Assist Property Manager in decision process on property issues to gain management knowledge, up to and including responsibility of consequences of the decisions.
22. Perform any duties assigned by Manager whether or not they are included in this job description.

F. PREFERRED EDUCATION / EXPERIENCE / SKILLS REQUIRED:
Preferred candidate holds a Bachelors or Associates degree; will consider candidate with high school diploma, two or more year’s prior experience in leasing with progressive responsibility and/or sales preferred, demonstrated ability to "close" sales. CAM, ARM or NALP certificates helpful. Good communication skills, both written and verbal are required. Typing skills 45 words per minute. Knowledge of computer software listed above is helpful. Neat, clean, well-groomed appearance. Ability to work well with residents, supervisor, employees and vendors.
