What are the responsibilities and job description for the Operations Administrator Assistant position at VINCENZO MANUFACTURING INDUSTRIES LLC?
The Operations Administrative Assistant plays a key role in providing support to the Production department and other internal customers. The Operations Administrative Assistant maintains the Production Workflow at the facility. Independently perform all duties necessary to ensure all inventory items are properly received and taken out from Work Orders and such.
1. Utilize Microsoft Excel, retrieve, filter, and validate data.
2. Once Work orders are completed on the floor then confirming Work Orders in the system.
3. Do adjustments in NetSuite for Reruns (RR) that are done on chain, synthetics, rope, wire rope & cable throughout the day.
4. Communicate any Priority Work Orders with Operations Manager and Shop Leads as needed throughout the day.
5. Ship the Sales Orders from Intercompany Work Orders so the finished product is put into stock.
6. Receive the Inter-company Purchase Order so shipping can ship the finished product from the correct location.
7. Receive the domestic receiving in NetSuite for both Rigging and Wholesale.
8. Maintain internal files of purchase orders and transfers.
9. Conduct various inventory counts and data entry operations such as cycle counts and inventory location changes.
10. Recognize challenges affecting inventory accuracy, customer shipments or material storage; aid in the development and implementation of processes to correct any unfavorable conditions.
11. Perform root-cause analysis for inventory discrepancies as directed.
12. Manage inventory distribution of both customer and vendor returns (RMA & RMAP)
13. Print special Tags for the Production Shops
14. Handout bi-weekly Shop Supply Inventories and collect to turn into Purchasing.
15. Monitor Housekeeping per shop – notify Operations Manager of any areas needing attention.
16. Other duties as assigned.
- Experience in a business environment with analytical work preferred - data mining, analysis, reporting.
- Requires solid written and verbal communication skills.
- Excellent math and spreadsheet skills and overall PC literacy (Microsoft Office) are required.
