Job Summary
We are seeking a highly organized and detail-oriented Quoting & Order Management Specialist to join our dynamic team. In this role, you will be responsible for generating accurate quotes, coordinating with internal teams (procurement, manufacturing, shipping, and accounting) to ensure order accuracy and completion timing, and ensuring seamless customer service throughout the sales and order fulfillment process. You will play a crucial role in maintaining strong customer relationships and contributing to our company's success.
Responsibilities:
- Maintain a high level of product and supply-base knowledge to effectively prepare quotes and address customer inquiries.
- Manage the full lifecycle of customer quotes, including receiving and analyzing requests for quotation (RFQs).
- Prepare accurate and timely quotations, ensuring all necessary information, including pricing, quantities, and terms, is complete.
- Review customer purchase orders and product specifications for accuracy and compatibility.
- Collaborate closely with internal teams (sales, inventory, manufacturing, shipping, and accounting) to determine delivery timing, resolve any order-related issues, and to ensure timely order fulfillment.
- Communicate order status to customers, provide updates, shipping information, and after-sales follow up.
- Identify and resolve order discrepancies, errors, or problems promptly and professionally.
- Coordinate product returns/repairs processes and customer communication.
- Maintain accurate and up-to-date customer and order information in our CRM system and spreadsheets.
- Identify and recommend process improvements to enhance efficiency and accuracy.
Qualifications:
- 5 years of experience in quoting, order management, sales support, or related role.
- BS or Associate degree in Business, Logistics, or Operations Management preferred.
- Proficiency in CRM software (e.g., Goldmine, Salesforce) preferred.
- Strong attention to detail and accuracy.
- Highly proficient with Microsoft Office Suite, particularly Excel.
- Excellent organizational and time management skills.
- Effective interpersonal and written / oral communication skills.
- Independent thinker with creative problem-solving skills.
