Job Summary:
As the Receptionist and Special Services Assistant, you will play a dual role that is essential to the smooth functioning of our school. In the morning, you will be the friendly face and helpful voice of Vinita High School, managing the front office and providing exceptional customer service. In the afternoon, you will transition to supporting our Special Services team with a variety of administrative tasks, ensuring they can focus on providing the best possible services to our students.
Responsibilities:
Receptionist Duties (70%):
- Serve as the first point of contact for guests, students, families, and staff, providing a warm, welcoming, and helpful experience.
- Manage the school's main phone line, answering calls promptly and professionally, taking accurate messages, and directing inquiries appropriately.
- Greet and assist guests, ensuring they sign in and out according to school procedures and directing them to their intended destination.
- Maintain the reception area, ensuring it is tidy, organized, and presents a positive image of the school.
- Receive, sort, and distribute incoming mail and deliveries.
- Manage outgoing mail and prepare packages for shipment.
- Assist students with general inquiries, providing information and directing them to the appropriate resources.
- Maintain student sign-in/sign-out logs and other front office records.
- Provide basic clerical support, such as photocopying, faxing, and filing for the offices.
Special Services Assistant Duties (30%):
- Provide administrative support to the Director of Special Services and special education staff.
- Assist with the preparation and organization of Individualized Education Program (IEP) documents, reports, and other confidential student records.
- Maintain and update electronic and paper filing systems for the Special Services Department, ensuring accuracy and confidentiality.
- Assist with scheduling meetings, appointments, and evaluations for special education staff and families.
- Prepare and process routine correspondence, memos, and other documents.
- Assist with the coordination of special education materials and resources.
- Communicate effectively with parents, staff, and external agencies under the direction of the Special Services team.
- Assist with data entry and record-keeping related to special education programs and services.
- Perform other clerical and administrative duties as assigned by the Director of Special Services.
Qualifications:
- High school diploma or equivalent required; some college coursework or relevant administrative certification preferred.
- Proven experience in a receptionist or administrative support role, preferably in an educational setting.
- Excellent communication and interpersonal skills, with a demonstrated ability to interact professionally and courteously with diverse individuals.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Exceptional attention to detail and accuracy.
- Proficiency in using standard office software, including Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A positive attitude, strong work ethic,3 and a genuine desire to support the success of students.
- Ability to work independently and as part of a team.
Terms of Employment:
- Position: Receptionist and Special Services Assistant
- Schedule: 175 days per school year, following the school calendar. Specific daily hours to be determined.
