Comp: Salary ($48-53K Bonus) Event Manager

Reporting to: General Manager

The Event Manager is a crucial member of the Vintage Fields team. They contribute to booking, planning, and executing weddings and events at Vintage Fields. The ideal candidate will naturally embody our core values: world-class hospitality, perfect presentation, profitability, efficiency, professionalism and positivity. They will report to and work with the General Manager to guarantee our clients and guests have a positive experience that exceeds their expectations.

:

  • Assist in tracking all incoming inquiries from our company website, direct emails, social media, industry websites, and owner referrals.
  • Actively use the CRM (Honeybook) to its fullest extent (including for many of the tasks below)
  • Conduct venue tours - with a focus on understanding the client’s needs, offering how Vintage Fields can meet their needs, and inviting the client to book.
  • Follow up with prospective clients until the lead management process has been exhausted (largely automated in CRM)
  • Intentionally upsell additional venue services post booking: (DJ service, Farmhouse rental, Coordination, Linen & Decor rentals, etc)
  • Maintain venue worksheets and reporting inputs
  • Ensure the Google & website calendars are up to date with event bookings
  • Send out payment reminders for upcoming events and track AR appropriately
  • Schedule and host a “final details meeting” with the client 30-60 days before the event (day of timeline, vendor details, beverage package choices, AV needs, etc.)
  • Serve as the “day of manager” for scheduled events - managing venue staff, serving as point person for the client, and ensuring a flawless experience and perfect review.
  • Schedule, confirm, and manage cleaning services - including ongoing CI (continuous improvement)
  • Occasionally attend industry events and trade shows - representing Vintage Fields to prospective clients and vendor partners.
  • Schedule, plan and execute 2-3 open house events per year
  • Partner with the GM to ensure the property buildings and grounds are in immaculate condition at all times. This includes managing handyman, landscapers, gardeners, waterers, trades / service providers.
  • Under the leadership of the General Manager, ensure all events are staffed to required levels. (must be available to fill in gaps if there are short notice scheduling anomalies)
  • Assist GM with bar management (ordering, stocking, inventory management, etc)

QUALIFICATIONS:

  • 2 years wedding coordination experience
  • 2 years people management experience
  • Naturally hospitable, personable, and diplomatic
  • Extraordinary communication and interpersonal skills
  • Highly organized, detail oriented, independently motivated, and personally responsible
  • Show initiative, anticipate needs, prioritize tasks, and meet deadlines
  • Passion for excellence and personal and professional growth
  • Enthusiasm, strong work ethic, and lots of fun energy
  • Available to work at least 50% of weekends as needed, including potential 12-15hr days
  • Regular travel to venue to perform events, tours and vendor/service provider management
  • Able to lift up to 50lbs
  • Bartending experience/license (preferred)
  • Experience working in service industry (preferred)
  • Supervisory experience (preferred)

Job Type: Full-time

Pay: $48,000.00 - $53,000.00 per year
