We are seeking a highly organized and proactive Executive Assistant to support our executive leadership team by ensuring smooth day-to-day operations, assisting with recruitment, and enhancing overall business efficiency.
Key ResponsibilitiesAdministrative & Operational Support
- Manage executive schedules, meetings, and daily tasks to enhance efficiency.
- Oversee day-to-day office operations, ensuring smooth workflow and organization.
- Serve as the primary point of contact for internal and external communications, including clients, caregivers, and vendors.
- Handle confidential and sensitive information with professionalism and discretion.
- Maintain records, files, and documentation for compliance and operational needs.
- Monitor and manage supply inventory for office and caregiving needs.
Recruitment & Staffing Support
- Assist with interviewing and onboarding caregivers and office staff.
- Coordinate new hire paperwork, orientation schedules, and compliance requirements.
- Support HR-related administrative tasks, such as scheduling training sessions and tracking certifications.
Client & Caregiver Coordination
- Assist with scheduling caregiver shifts and ensuring coverage for client needs.
- Address caregiver and client concerns, escalating issues as needed to management.
- Maintain accurate employee and client records, including documentation related to licensing and compliance.
Communication & Compliance
- Draft and send correspondence, reports, and memos on behalf of executives.
- Ensure the business remains compliant with state regulations, licensing, and company policies.
- Assist with quality assurance by gathering feedback from clients and caregivers to enhance service delivery.
General Support
- Handle special projects as assigned by the CEO and COO.
- Assist in coordinating business events, meetings, and team trainings.
- Support financial operations by assisting with invoice processing, payroll coordination, and expense tracking.
Qualifications & Skills
- Proven experience as an Executive Assistant, Office Manager, or similar role in healthcare, senior care, or a related field.
- Strong organizational and time management skills with the ability to multitask effectively.
- Excellent verbal and written communication skills with a professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other administrative tools.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Experience in home care, senior care, or healthcare administration is highly preferred.
- Knowledge of state regulations and compliance requirements for in-home care agencies is a plus.
- High level of discretion, professionalism, and attention to detail.
