We are seeking a highly organized and proactive Executive Assistant to support our executive leadership team by ensuring smooth day-to-day operations, assisting with recruitment, and enhancing overall business efficiency.

Key ResponsibilitiesAdministrative & Operational Support

  • Manage executive schedules, meetings, and daily tasks to enhance efficiency.
  • Oversee day-to-day office operations, ensuring smooth workflow and organization.
  • Serve as the primary point of contact for internal and external communications, including clients, caregivers, and vendors.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Maintain records, files, and documentation for compliance and operational needs.
  • Monitor and manage supply inventory for office and caregiving needs.

Recruitment & Staffing Support

  • Assist with interviewing and onboarding caregivers and office staff.
  • Coordinate new hire paperwork, orientation schedules, and compliance requirements.
  • Support HR-related administrative tasks, such as scheduling training sessions and tracking certifications.

Client & Caregiver Coordination

  • Assist with scheduling caregiver shifts and ensuring coverage for client needs.
  • Address caregiver and client concerns, escalating issues as needed to management.
  • Maintain accurate employee and client records, including documentation related to licensing and compliance.

Communication & Compliance

  • Draft and send correspondence, reports, and memos on behalf of executives.
  • Ensure the business remains compliant with state regulations, licensing, and company policies.
  • Assist with quality assurance by gathering feedback from clients and caregivers to enhance service delivery.

General Support

  • Handle special projects as assigned by the CEO and COO.
  • Assist in coordinating business events, meetings, and team trainings.
  • Support financial operations by assisting with invoice processing, payroll coordination, and expense tracking.

Qualifications & Skills

  • Proven experience as an Executive Assistant, Office Manager, or similar role in healthcare, senior care, or a related field.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other administrative tools.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • Experience in home care, senior care, or healthcare administration is highly preferred.
  • Knowledge of state regulations and compliance requirements for in-home care agencies is a plus.
  • High level of discretion, professionalism, and attention to detail.
