Overview
We are seeking a dedicated and experienced Medical Surgical Office Manager to oversee the daily operations of our Surgical Private Practice Office. The ideal candidate will possess a strong understanding of medical terminology, patient relationships, insurance pre authorization and copayments, collections, and have experience in managing medical records, budgeting, and hiring and supervising staff.
This role is crucial in ensuring that our office runs smoothly and efficiently while providing exceptional support to our healthcare team.
Responsibilities
- Manage the overall operations of the medical surgical office, ensuring compliance with standards and regulations.
- Ensuring surgical and nonsurgical procedures are being scheduled and in a timely manner, booking procedure sheets are completed and sent, coding is done properly
- Equipment for surgical procedures in office and also at outpatient hospitals and surgery center is ready for surgeon's cases.
- Obtain insurance information, pre authorization and Insurance verification for our insurance patients for co-pays, deductibles, out of pocket, in network versus out of network for visits and surgeries.
- Supervise and provide administrative support to staff, fostering a positive work environment.
- Utilize Cerner, EPIC and office EMR:ModMed software for managing patient information and improving workflow efficiency.
- Maintain and coordinating communications with office staff of other offices when coordinating procedures with other surgeons and medical clearances.
- Ensure timely follow up with new consults, insurance patients, and cosmetic patients.
- Oversee the maintenance and accuracy of medical records, ensuring confidentiality and compliance with HIPAA regulations.
- Develop and manage budgets for the office, analyzing financial data to improve operational efficiency.
- Implement and maintain effective systems for patient scheduling, billing, and insurance verification.
- Coordinate with healthcare providers to streamline processes within the surgical clinic setting.
- Train new staff on office procedures, systems, and best practices to ensure high-quality patient care.

Qualifications:
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field (preferred).
- 3 years of experience in a medical office management role, preferably in a surgical setting.
- Knowledge of surgical scheduling, medical terminology, insurance, and billing practices.
- Proficiency in Electronic Health Records (EHR) systems (Cerner, EPIC and ModMed) and Microsoft Office Suite.
- Strong leadership, communication, and organizational skills.
- Excellent proficiency in English is required, and proficiency in Spanish is a plus.
- Ability to work in a fast-paced environment and handle confidential information with discretion.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
