Position Summary:
The School of Business Kornblau Real Estate (KRE) Program and the Risk Management & Insurance (RMI) Program is inviting talented and qualified candidates to apply for the hourly role of program coordinator to support program operations. This part-time, hourly position (averaging 25 hours per week, not exceeding 1,480 hours per year) is subject to available funding. This position is expected to start in May 2025. This position will report to the Associate Director of the KRE and RMI programs.
Typical Responsibilities:
Collaborate with directors to support the development and management of internal and external stakeholder programs and events, including student and community engagement initiatives.
Primarily use Google Workspace, AirTable, and Slate, to assist with program and event management and tracking.
Manage all catering orders for internal and external events, including, but not limited to, board meetings, planning committee meetings, larger speaker events (100 people), and student organization events.
This role requires travel locally for off-site events, transporting materials to and from storage, making deliveries and pickups, and other work-related travel 2-3 times a month or as needed. The employee must be comfortable driving, handling event-related logistics, and ensuring timely and professional transportation of materials and supplies.
Manage social media and marketing, including content creation and scheduling.
Manage 5 generic program email accounts, plus voicemail boxes.
Assist with fiscal functions such as purchasing materials, submitting payment requests for student awards and scholarships, coordinating faculty and student travel, submit reimbursements; interface with the school’s finance team when more complex transactions are required. Ensure all transactions are processed in compliance with university policies and applicable federal, state, and local laws.
Provide expense tracking and reporting to the Associate Director to assist with budget management and reconcile monthly financial transactions.
Work on special projects and initiatives as needed to support the KRE and RMI program.
Minimum Qualifications:
Ability to function well in a complex, fast-paced, multi-task work environment that may present competing deadlines.
Ability to apply knowledge of programs, operations, and administrative policies and procedures to maintain or enhance the department's efficiency.
Excellent problem-solving, writing, organizational, and time management skills.
Ability to learn and use various computer programs, internet software, and office applications, such as Microsoft or Google Workspace
Ability to carry/lift at least 15 pounds.
Possess a valid state driver's license and access to reliable transportation. Flexibility to work occasional evenings or weekends to support events (significant notice will be given).
Demonstrated experience working in and fostering an environment of respect, professionalism, and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications:
Prior experience in an administrative or support position or relevant work experience in a university setting.
Proficiency in Microsoft Office, Google Workspace, Canva, BeeFree, Adobe Creative Cloud, and other relevant software.
At least 1 year of experience in social media management, including content creation, community engagement, scheduling, and analytics.
Experience with higher education, governmental, or corporate financial systems for purchasing and procurement.
Additional Information:
Typical Schedule: Monday - Friday, averaging 25 hours per week. Flexibility to work occasional evenings or weekends to support events (adequate notice will be given). This position is eligible for a hybrid and flexible work schedule once training is complete and must be coordinated with the supervisor of this role.
