Duties & Responsibilities

Primary Purpose : Virginia Commonwealth University School of Social Work (SSW) invites applications for the position of Assistant Director of Undergraduate Advising. This position will work closely with the Director of Student Success, program directors, faculty, and staff to foster an increasing sense of responsibility and empowerment for students as they progress towards successful completion of their program. The primary purpose of the Assistant Director of Undergraduate Advising is to support the success of undergraduate (BSW) social work students from enrollment to graduation. The Assistant Director of Undergraduate Advising is responsible for facilitating student success by providing leadership to develop, implement, coordinate, and manage established retention-related initiatives and strategic goals of the university, school, program, and Office of Student Success.

General Responsibilities : The Assistant Director of Undergraduate Advising will provide academic advising to an assigned caseload of students. They will collaborate with the Advising Team to implement student engagement programs for students on-campus and online and oversee the coordination of events. They will oversee the development and scheduling of all synchronous and asynchronous new student orientation events held within the School of Social Work. The Senior Advisor will play an integral role in the onboarding of new advising staff and will serve as a supervisor to the BSW Advising Team. They will provide coverage and act as a backup in areas related to student success in the absence of the Director of Student Success.

Typical Duties :

Provide academic advising services to assigned students

  • Evaluate and proactively address student strengths and challenges related to professional development as a social worker (academic, administrative, personal)
  • Refer students to appropriate academic and non-academic resources services at the school and university
  • Advise, assist and monitor current students, individually and in groups in academic areas such as, navigating school and university general policies and procedures, time management, study strategies, degree requirements, educational policies, educational plans, course selection / registration, internship requirements, transfer information, and post-graduation options
  • Advise and assist current students individually and in groups in areas related to social integration such as residential life, community engagement opportunities and strategies for school / work / life balance
  • Coordinate initiatives and increase number of contacts with current student advisees to facilitate school and university level retention strategies
  • Maintain current and accurate documentation of advising communication and information
  • Communicate student advising issues and updates appropriately with relevant faculty, program directors, and administrators

Administrative duties

Oversee the Change of Major process :

  • Reviews Change of Major Spreadsheet and outreach to students who express interest in changing / declaring major
  • Coordinate and implement Change of Major Sessions to review curriculum and upper level transition requirements
  • Maintain communication with students not meeting GPA requirement to switch at moment of request and follow up when requirements are met
  • Assist with design and update of change of major website
  • Oversee Declaration / Change of Minor process (Social Welfare & Mental Health) :

  • Review Change of Minor spreadsheet and send outreach to students who express interest in declaring minor
  • Send out semesterly updates on course offerings, override process, and registration support
  • Track space needed to support Program Director with seat availability
  • Coordinate with program coordinator on targeted outreach to minor student population
  • Provide outreach / email updates at least once a semester to primary advisors of minor students
  • Participate in recruitment of undeclared population :

  • Hold trainings with Discovery advisors so that they understand curriculum and referral processes
  • Work with Discovery team to implement Change of Major Workshops each semester and classroom visits to UNIV 103 classes in the fall
  • Design a streamlined change of major process for undeclared students who have engaged in recruitment events
  • Provide guidance to other Advising / OSS staff in covering BSW curricular material during recruitment events
  • Work with the Senior Recruitment Specialist at events and student meetings as appropriate
  • Retention-based student engagement programming

  • Conduct proactive outreach to caseload, which could include campaign development for at-risk student populations
  • Track students progress as they complete requirements to move into Professional Practice Level
  • Coordinate Professional Practice Level Information Sessions
  • Participate in and help coordinate BSW programming and initiatives
  • 10%-Coordinate and Lead Orientation and Open House Events
  • Plan and review curricular materials for orientation and open house events throughout the academic year
  • Continuously revise and develop asynchronous orientation modules in Canvas
  • Oversee the scheduling of synchronous orientation sessions online and in-person
  • Participate in Professional Practice Level Orientation in Spring and Summer
  • Support the Office of Student Success with other duties as assigned
  • Qualifications

    Minimum Qualifications

  • Demonstrated experience working in and fostering a diverse and inclusive work environment or the commitment to do so as an employee at VCU.
  • Master's degree in social work, social sciences, student personnel, college counseling, or related field
  • 5 years of academic advising, student success, and / or retention-related experience
  • Ability to fully contribute to a dynamic and healthy team environment
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment
  • Excellent verbal and written communication and customer service skills
  • Excellent computer skills and experience with all Microsoft Office and Google Suite products
  • Ability to work independently
  • Demonstrated ability to organize and prioritize work
  • Demonstrated ability to handle multiple tasks concurrently
  • Preferred qualifications :

  • Experience providing academic advising and / or retention-related initiatives with social work students in a college or university setting
  • Experience advising students enrolled in an online degree program
  • Experience planning and implementing new student orientation
  • Supervision experience
  • Experience working with non-traditional students
