Summary:
The program specialist will provide administrative support for the Center for Inherited Muscle Research. The program specialist will be responsible for providing overall program support, including scheduling, fiscal management and human resources support. The program specialist will be required to be familiar with all aspects of the Center activities in order to provide support for both the overall operations as well as day to day. The position requires a high degree of flexibility, confidentiality, diplomacy and tact. Successful applicants will have strong initiative with good judgement and strong written and verbal communication skills.
Typical Duties

Responsibility 1 (50%): Director, Co-Director and other Faculty Scheduling
- Task 1: Maintain assigned schedule in appropriate software (MS Outlook, Teams, Zoom).
- Task 2: Respond to meeting request promptly.
- Task 3: Cross check department and program calendars regularly and advise appropriate stakeholders of conflict, as well as propose possible solutions.
- Task 4: Document meeting minutes and disseminate appropriately.
- Task 5: Communicate in a clear and effective way to all stakeholders.

Responsibility 2 (30%): Event Planning & Coordination
- Task 1: Invite guest speakers.
- Task 2: Facilitate travel and lodging arrangements utilizing University approved methods and procedures.
- Task 3: Tracks and files required supporting documentation as needed and required by University policies.

Responsibility 3 (20%): Other Tasks & Duties as assigned
- Task 1: Assist where needed with other activities such as grants submission prep, fiscal reporting preparation, and day to day management of center operations.
Minimum Qualifications
- Associates or Bachelor’s degree or equivalent applicable experience
- Experience with software programs and databases, including MS Office (including Word, Excel,PowerPoint)
- Attention to detail, excellent written/verbal communication skills
- Ability to work well independently, but also to seek assistance when needed.
- Excellent time management and organizational skills
- Excellent oral, written and verbal communication skills
- Demonstrated experience working in and fostering a diverse faculty, staff, and student environmentor commitment to do so as a staff member at VCU.
Preferred Qualifications
- 2 years experiences as an administrative assistant in fast paced environment.
- Experience in healthcare environment, clinical research, public or business administration.
