Approximately 20-29 hours per week including one evening per week.

General Description: The Advising Center Support Specialist assists the Advising Center office manager with the operational oversight of the Annandale Campus Advising Center front desk and will also assist in the Student Affairs intake hub.

Duties And Tasks

  • Screen students for advisors.
  • Serve as a key, front-line representative for the campus
  • Creates schedules for work study employees and provides on-the-job training and oversight of the student employees’ work.
  • Assists students with college forms (e.g., change of address form, accommodations request forms, and registration forms)
  • Assists students in the computer area with online applications, student email, course registration and reviewing and understanding holds.
  • Uses computers and software for word processing, spreadsheets, and database management.
  • Provides clerical assistance as assigned.
  • Maintains a working knowledge of all student services and academic areas in order to provide general information and to make appropriate referrals.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

Required KSAs:

  • Good written and oral communication skills to ensure effective communication of information in a busy environment
  • Ability to solve problems, answer complex questions, interpret and communicate college policies and procedures; work effectively in a fast-paced, high volume and confidential environment
  • Knowledge of applicable computer software/programs to work projects.
  • Ability to provide assistance to patrons who need help with use of Center’s technology (i.e.: computer, printer, WiFi)
  • Knowledge of NOVA policy and procedures
  • Ability to conduct presentations in a small or large group format

Minimum Requirements

  • Customer service experience
  • Experience with Microsoft Office Suite
  • Experience with training and assisting of employees
  • Experience in assisting with the supervision of employees

Additional Considerations

Additional Considerations

  • Student services experience in a higher education setting
  • Experience working with PeopleSoft or another student information system
  • Demonstrated experience with NOVA programs, including counseling, advising, financial aid, veterans’ benefits, admissions, international student support, testing, parking, etc.
  • Bilingual with fluency in a foreign language commonly spoken in the NOVA service area.
