Salary Range:    $16.50 - $18.50 Hourly

Full-time Opening: 40 hours/week
Scheduled Shifts: Monday - Friday
Scheduled Hours: primarily 8-hour shifts with 30-minute lunch break, variable start times
Office Location: Kilmarnock, Virginia 22482

 

Summary:  Assists physicians and nursing staff with patient exams, tests, and procedures. Follows call center/front desk procedures including, but not limited to, appointment scheduling, check-in, and check-out. 

 

Essential Duties and Responsibilities include the following.  Other duties may be assigned.
 

Medical Assistant Responsibilities:

  • Greets and prepares patients for examinations and assists provider
  • Instructs patients in the collection of urine specimens, as needed
  • Prepares exam rooms, instruments, and gowns per appointment type
  • Prepares equipment and aids physician during treatment, examination, and testing of patients
  • Performs NSTs as ordered; file strips and belts per protocol
  • Obtains vital signs & history, records data in patient’s electronic chart
  • Prepares lab requisitions, prints labels, and verifies patient identity by name and DOB for all labs
  • Cleans and sterilizes instruments and equipment

Patient Coordinator Responsibilities:

  • Greets patients and visitors in a prompt, courteous, and helpful manner
  • Check in patients, verifies and updates insurance and demographic information in the computer
  • Scans insurance cards, HIPAA, and other documents and attached to the patient database
  • Generates PIN and sends a secure message to the patient for portal registration; assists patients in navigation of patient portal
  • Schedules, coordinates, and reschedules patient appointments on the phone, patient portal, or during check-out procedures
  • Advises the business office concerning patients with collection status
  • Collects insurance co-payments/co-insurance, self-pay payments, budget agreement payments, and account balances. Issues receipts and/or self-pay agreements. Clarifies charges incurred and the insurance/billing processes.
  • Maintains security procedures for money handling during the day; balances payment log against money received

General Responsibilities:

  • ​​​​​​​Reviews orders for completeness and accuracy
  • Maintains adequate inventory of necessary forms and supplies, stocks clinical supplies in exam rooms and nurses' station daily
  • Demonstrates efficient navigation of Electronic Medical Record and pertinent electronic applications
  • Facilitates the efficient flow of patients
  • Attends required meetings
  • Complies with Virginia Women's Center’s policies and procedures.  Follows guidelines required by HIPAA, OSHA, and Red Flags regulations. Maintains appropriate attendance and punctuality as defined by Virginia Women's Center policy.

Education, Experience, and/or Licensure

High school diploma or general education degree (GED).
One-year related experience and/or training; or equivalent combination of education and experience.

 

Knowledge, Skills & Abilities

  • Knowledge of VWC's computer system software and its functionality as it pertains to patient care
  • Knowledge of receptionist tasks, office procedures, paperwork, customer service concepts
  • Knowledge of organizational policies, regulations, and procedures to administer patient care
  • Knowledge of office cash payment policies and procedures
  • Knowledge of grammar, spelling, and punctuation to type patient information
  • Knowledge of specific assisting tasks related to Ob/Gyn specialty
  • Knowledge of OSHA guidelines
  • Skill in operating office equipment: computer, keyboard, fax, copy machine, scanner
  • Skill in answering the telephone in a pleasant and helpful manner
  • Skill in preparing and maintaining records
  • Skill in maintaining departmental quality assurance and quality control standards
  • Skill in performing assistance tasks appropriately
  • Skill in tact and diplomacy in interpersonal interactions
  • Ability to stay current with numerous changing insurance company policies
  • Ability to communicate with patient to ascertain patient information, scheduling needs, and necessary care (requires independent judgment for assessing patient needs for appropriate preparation for exam)
  • Ability to organize and prioritize tasks effectively
  • Ability to speak clearly and concisely
  • Ability to read, understand, and follow oral and written instruction
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals and memos
  • Ability to type 30 words per minute
  • Ability to maintain strictest patient confidentiality
  • Ability to obtain vital signs and monitor fetal heart and contractions
  • Ability to demonstrate accuracy and efficiency in recording information in patients charts and in labeling specimens
  • Ability to react calmly and effectively in emergency situations
  • Ability to respond with flexibility to changing workload or patient assignments
  • Ability to perform effectively as a team member, supporting a patient-focused environment in all interactions with patients, families, visitors, and volunteers

 

Physical Demands

Varied activities include sitting, walking, stooping, lifting, bending, and reaching.  Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination.  Must be able to exert up to 50 pounds of force occasionally and to lift 50 pounds.  Must be able to use a variety of office equipment including phone, writing instruments, keyboard, fax, and medical equipment including stethoscope, scales, blood-pressure cuff.  Must be able to view computer screens for long periods. Requires corrected vision and hearing to normal range. 

 

Work Environment

Combination of medical office and exam/procedure room settings. Potential for exposure to hazards/blood borne pathogens. Involves frequent telephone contact with patients. May be stressful at times.
