What are the responsibilities and job description for the Administrative Assistant/Bookkeeper position at Visalia Emergency Aid Council?
Bookkeeper/ADMINISTRATIVE ASSISTANT
REPORTS TO: Executive Director
Maintain all financial transaction records in QuickBooks.
Approve all accounts payable invoices and process for payment.
Maintain all office files & correspondence.
Oversee cash flow management.
Prepare monthly, quarterly and annual financial statements and coordinate yearend audit activities.
Develop and monitor budgets for organization and fundraising activities.
Attend board finance committee meetings and work to secure accurate monthly financial reports for board meetings.
Distribute monthly board packet, coordinate meeting and attend meeting when needed.
Manage bi-weekly payroll and all corresponding tax reporting and payment.
Maintain all employee personnel files and ensure compliance in payroll and labor laws.
Process all monetary donations make deposits and handle all banking activities.
Work with Executive Director to reconcile bank, investment and online donations and maintain file of bank statements *
Supervise upkeep of donor mailing list and issue thank you correspondence.
Assist Executive Director with research and writing of Grant Proposals & Reports.
Work with Executive Director to implement and maintain donor data base software.
(* Reconciliation of bank statements will be shared with ED for better division of duties).
MARKETING:
Assist with the designing, developing, coordinating & implementing of all fundraising projects.
Work closely with Fund Developer to maintain social media partners and to establish plans for marketing events and programs.
Assist with all Thrift store marketing and social media campaigns.
Work side by side with Executive Director in building and developing strong donor and sponsor relationships.
Foster strong working relationships with current and potential business partners.
Be active in community events.
Work with Executive Director to research, implement and maintain donor data base software.
PROGRAM CLIENT SERVICES:
Become familiar with all client services in both the pantry and thrift store.
Assist with client eligibility questions or concerns.
Assist with client intakes when the need arises.
Attend all staff meetings for Pantry and Thrift Store.
Develop and execute “on the job training” for Pantry and Thrift Store.
