SUMMARY
As an Office Lead at Vision Now, you will oversee daily operations and ensure a seamless patient experience. Your primary responsibility is to manage administrative and clinical workflows, support the team, and contribute to the success of our practice by fostering a positive and efficient workplace culture. Secondary responsibilities include proficiency in one of the key roles: Optician, Technician, or Front Desk Associate. Tertiary responsibilities include functioning at an efficient level in the other two practice roles. This role requires a blend of leadership, excellent communication skills, and a commitment to exceptional patient care.
JOB RESPONSIBILITIES
Front Office Operations:
- Oversee the daily operations of the front office, ensuring smooth workflows and excellent patient service.
- Manage appointment scheduling, confirmations, recalls, and follow-ups to optimize the practice's schedule.
- Ensure all patient paperwork, insurance verifications, and billing processes are completed accurately and on time.
Leadership and Team Support:
- Train, mentor, and provide guidance to staff, ensuring adherence to Vision Now policies and procedures.
- Serve as the primary point of contact for resolving patient or staff concerns related to office operations.
- Delegate tasks effectively to maintain efficiency and meet practice goals.
- Foster a team-oriented environment that emphasizes collaboration, professionalism, and patient care.
Administrative Tasks:
- Monitor office supplies and manage inventory to ensure the practice runs smoothly.
- Coordinate with the Chief Business Officer to maintain office equipment and facilities.
- Assist with financial tasks, including patient payments, daily reconciliations, and reporting.
- Maintain compliance with HIPAA and other regulatory requirements.
Professional Development:

· Track office progress by monitoring and improving KPI’s.

PHYSICAL REQUIREMENTS
- Requires standing, sitting, driving, and walking for prolonged periods of time.
- Occasionally lift and carry items up to twenty-five pounds.
- Able to remain calm and professional regardless of workload or time constraints.
- Proficient in use of English language both in written and verbal communication.
- Must be able to keep electronic information organized and utilize effective time management skills.
- Requires frequent use of hands and fingers to operate a computer keyboard and mouse.

QUALIFICATIONS
- High School Diploma required.
- Colorado driver’s license and access to reliable transportation during work hours.
- Current automobile insurance.
- Spanish language skills preferred.
- Previous experience in a leadership role preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to remain calm and efficient in a fast-paced environment.

SALARY RANGE
- Hourly $19.00-$24.00
