POSITION SUMMARY
We’re seeking an organized, proactive, and personable Office Manager to be the heartbeat of our operations. This individual will be the first point of contact for our company, supporting internal communication, streamlining processes, and ensuring that both clients and internal leadership have what they need to succeed. This role plays a critical part in client follow-ups, internal coordination, and even closing deals over the phone.

PERFORMANCE OBJECTIVES
- Answer and route incoming phone calls with professionalism and warmth
- Follow up with clients on proposals to ensure timely communication and deal progression
- Build and improve operational systems and internal workflows to increase efficiency
- Serve as a communication liaison for the CEO and Controller, prioritizing tasks and correspondence
- Act as the first point of contact for the company—via phone, email, and in-person interactions
- Manage calendars, appointments, and follow-up tasks as needed
- Support client relationship management by maintaining CRM notes and timely updates
- Close deals or service calls over the phone (training provided)
- Assist in day-to-day administrative duties and ensure smooth office operations
KEY COMPETENCIES
- Strong communication skills—both verbal and written
- Highly organized and detail-oriented, with the ability to prioritize tasks independently
- Comfortable making outbound calls and following up on sales or service-related proposals
- A problem-solver with a customer-first mindset
- Experience working with executives or upper management is a plus
- Proficiency in Microsoft Office and/or Google Workspace; experience with CRM systems preferred
- Proficiency working with AI platforms such as ChatGPT
EDUCATION AND EXPERIENCE
- Bachelor's Degree (Preferred)
- 3 years in an administrative or office management role
- Experience in a service-based or construction-related business is a bonus
- Must be proficient in Microsoft Office Suite (Excel, Word, PowerPoint), CRM software, and other administrative tools.
PHYSICAL REQUIREMENTS
- Periods of sitting, standing, and walking in the office
