Title: Sales Assistant
Department: Group & Convention Sales
Type: Regular, Full-Time (Non-exempt)
Position Purpose: Provide administrative and clerical support to the Manager, Sales Support in the implementation and management of projects and events. This position works in close cooperation with several Visit Detroit internal staff members and departments.
Reports To: Manager, Sales Support
Direct Subordinate: None
Essential Job Functions:
- Support the Manager, Sales Support by handling clerical and administrative duties, including data input, submitting requisitions and product requests.
- Maintain databases, prepare and send correspondence; assist in planning and execution of the Family Reunion Planning Seminar, and other necessary support functions.
- Answer calls from inquiries relative to the family reunion seminar, send out information packets electronically and greet family reunion visitors (walk-ins) to the Visit Detroit
offices.

- Execute the service process for family reunion clients including necessary follow-up with status changes, fulfillment of product requests and other support as needed to ensure customer satisfaction.
- Responsible for data entry into the IDSS database to ensure accurate account and contact information.
- Enter leads into the system and follow-up with hotel partners to obtain contracts.

- Provide overall support to the Convention & Meeting Sales Department.
Required Knowledge, Skills, and Competencies:
- Working knowledge of the hospitality industry, knowledge of area hotels and meeting/event/convention spaces.
- Excellent communication skills including the ability to clearly express thoughts, ideas, and concepts, verbally and in writing, in the English language.
- Skilled in organizing, prioritizing, and analyzing multiple assignments simultaneously.
- Ability to think and manage creatively in a fast-paced work environment.
- Ability to develop and maintain effective working relationships with supervisors, peers, colleagues, and external stakeholders.
- Maintains a positive and professional work attitude, appearance, and behavior even in the most demanding situation.
- Ability to work effectively in both remote and in-person work environment; proficient using video conferencing software and other remote work tools.
- Proficient in using personal computer software and applications including Microsoft Word, Excel, Outlook, and PowerPoint.
- Available weekends and outside of normal work hours for assignments and travel, as needed.
Physical Demand and Working Conditions:
- Office work involves extended periods of sitting or working at a desk, utilizing repetitive typing motions on a computer or laptop, and reading text on a video display monitor.
- Ability to perform extensive standing and/or walking for work-related assignments and events.
- Ability to lift push, and or carry up to 25lbs. occasionally.
Minimum Qualifications:
- Associate’s degree or equivalent combination of formal education and work experience.
- Four years’ experience working in clerical support position.
- Maintain dependable, consistent, and acceptable attendance based on a 5-day, 40 hours work week.
- Valid, unrestricted Michigan driver’s license.
Preferred Qualifications:
- Bachelor’s degree
- Two years working experience in the Travel/Tourism/Hospitality industry.
- 5 years’ experience working in clerical support position.
