To capitalize on this incredible growth and to achieve Visit Salt Lake’s ambitious vision, we’re seeking a proactive and enthusiastic Executive Assistant to join our highly collaborative, and hard-working team. The Executive Assistant and Board Liaison to the Chief Growth Officer (CGO) will provide high-level administrative support to the CGO while assisting with strategic initiatives across multiple areas of growth, including business development, marketing, product development, and sales. This role requires a proactive, resourceful individual with exceptional organizational skills, a strong ability to manage multiple priorities, and the capacity to handle confidential and sensitive information. The position will also serve as the liaison to the CTAA Board of Directors, ensuring effective communication and coordination between the CGO and Board members.
Primary Responsibilities:
Executive Assistant Responsibilities:
- Calendar and Meeting Management: Efficiently manage the CGO’s calendar, scheduling and coordinating meetings, appointments, and travel. Prioritize daily tasks and ensure timely follow-ups.
- Travel Coordination: Organize all aspects of travel, including booking flights, accommodations, and transportation. Ensure travel itineraries are aligned with business priorities.
- Communication and Correspondence: Serve as the main point of contact for the CGO’s external and internal communications, screening calls and emails, drafting responses, and managing correspondence.
- Project Coordination: Support cross-functional teams in executing strategic growth initiatives. Monitor project timelines and deliverables, ensuring that projects are completed on time and within scope.
- Meeting Preparation and Support: Prepare materials for meetings, including agendas, presentations, and reports. Take detailed minutes and follow up on action items.
- Expense Management: Assist in managing the CGO’s budget, including processing expense reports, tracking spending, and ensuring adherence to financial protocols.
- Confidential Information: Handle confidential information with discretion, maintaining the highest level of professionalism and security.
Board Liaison Responsibilities:
- Board Meeting Support: Coordinate logistics for Board meetings, including scheduling, materials preparation, and ensuring that Board members have the necessary information ahead of time.
- Board Communication: Act as a liaison between the CGO and the Board of Directors, managing communication and ensuring that key updates and strategic priorities are conveyed effectively.
- Governance and Documentation: Support the preparation of Board minutes, resolutions, and other governance-related documents.
Strategic Growth Support:
- Growth Strategy Coordination: Assist in the execution of the CGO’s growth strategies by coordinating initiatives across departments, ensuring alignment with business goals, and tracking key performance indicators.
- Business Development Support: Aid in identifying new business opportunities and partnerships, including research and preparing materials for potential deals.
- Sales and Marketing Integration: Support initiatives to align sales and marketing strategies with the company’s growth objectives, including assisting with campaign tracking and client relations.
- Product Development Collaboration: Work closely with product teams to gather information and provide support on new product or service offerings designed to drive growth.
Qualifications
- Proven experience as an Executive Assistant, preferably supporting C-suite executives.
- Strong project management and organizational skills, with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal, with the ability to interact with senior leadership, Board members, and external stakeholders.
- Ability to handle confidential information with the utmost discretion and professionalism.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), project management software, and communication tools.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and take initiative on tasks and projects.
