We are seeking an experienced Event Coordinator to join our team in Hamburg, NJ. As an Event Coordinator, you will be responsible for managing the logistics of our in-person events, ensuring a seamless and enjoyable experience for our guests.
Job Description
Event Preparation: You will work closely with our team to prepare for each event, including coordinating with vendors, staff, and partners. This will involve joining virtual planning meetings ahead of time to ensure everyone is on the same page.
On-Site Management: On the day of the event, you will be responsible for setting up, aligning with the on-site team, tearing down, cleaning site areas, problem-solving, and ensuring a high-quality customer experience.
Representing Visit.org: You will be the representative of Visit.org at the event, leading and problem-solving as needed. This will involve aligning roles and responsibilities with the onsite team, managing check-in processes, and providing a warm and friendly welcome to guests.
Problem-Solving: You will be responsible for resolving issues that may arise during the event, such as missing supplies, late staff, technology challenges, etc. If necessary, you will escalate these issues to the Events Team to keep them informed or help problem-solve.
Communication: Throughout the event, you will send consistent updates, photos, and videos to the Events Team. After the event ends, you will help clean the site and repackage and ship all materials back to the distribution center.
Requirements
- Fluency in English and strong communication skills
- Based in Hamburg, NJ
- Schedule flexibility with availability to work on a contract per-event basis, as needed
- Experience in complex, large-scale events and smaller executive-level intimate events
- Shown experience in executing events at the highest level and continuously raising the bar on content and the customer experience
- Resourcefulness, ability to exhibit grace under pressure, and solutions-minded in ambiguous situations
- Quick thinker, able to problem-solve on the fly
- Self-starter who is organized and detail-oriented
- Lovely building relationships with customers and enjoy customer service
- Experience with group facilitation and managing group dynamics
- Able to work flexible hours, including nights and weekends, as needed
- Willing and eager to travel to various areas of the local region
- Strong interpersonal and customer service skills, especially in fast-paced situations
- Able to wear many hats and take on varied tasks and projects
- Comfortable being present and interacting with large crowds

What We Offer
This is an on-location, in-person, per-event contract role in Hamburg, NJ. The estimated salary for this position is around $45,000-$60,000 per year, depending on experience. Please note that relocation packages are not offered at this time.
