The Main office Staff works to facilitate and provide excellent client care and customer service, with 24/7 on-call support staff.

Pay: $25 an hour (or depending on experience) plus benefits

POSITION PURPOSE:

The Client Care Manager is responsible for the coordination of services between clients and caregivers for the implementation of schedules, adequate staffing and continuity of care to best meet the needs of the clients. In addition, the Care Manager supervises caregivers and establishes/maintains client and caregiver relationships. Care Managers are the “Face” of Visiting Angels in their community. The Client Manager reports directly to the Operational Manager or Care Director.

 

PRINCIPAL ACCOUNTABILITIES:

  • Answer the telephone and greet the public with professionalism and a smile in your voice.
  • Demonstrate dependability.
  • Establish and maintain the Visiting Angels level of Excellence with client and caregivers as described in the “Why” statement and Core Values.
  • Responsible for all Marketing in their area with Marketing Directory input and Oversight.
  • Conduct Assessments of potential clients, collect deposits and set up new cases.
  • Conduct Meet and Greets, introducing New clients to new Caregivers.
  • Maintain computer schedules and ensure timely data entry and documentation
    for schedules and care recipient information.
  • Timely copying and filing of appropriate caregiver and care recipient documentation.
  • Perform the 90-day, 6 months and annual evaluations of caregiver staff in a timely
    manner and document these appropriately to HR and in the Wellsky system.
  • Recognize and reward good job performance and promote caregiver recognition.
  • Maintain professional relationships with clients and employees; assuring clients and
    employees’ confidentiality.
  • Initiate and maintain positive relationships with the Tribal staff, all clients and caregivers. Promote the Visiting Angels brand in your area.
  • Independently respond to and resolve any clients’ complaints or concerns. 
  • Communicate all concerns and incidents to the Care Director for direction in a timely manner.
  • Communicate and reinforce Visiting Angels’ policies and procedures, as well as our
    Basic 12 to caregiver staff.
  • Maintain and order office supplies, as needed.
  • Create a monthly Tribal Client Update and send email to the Tribe/Care Director the
    report prior to the monthly meeting. 
  • Attend monthly Tribal Meetings.
  • Oversee the Assistant Care Manager (if applicable).
  • On-call evenings and weekends, as directed.  Keep on-call materials current with client information, instructions and directions, current roster of care and roster of active direct care staff. While “On Call” Care Mgr will be assessable by phone at all times and have direct
    access to WellSky system. Documentation of all calls in Wellsky is necessary.
  • Respond promptly to office staff via Phone, Celo and/or text during “off hours”.
  • Participate in Staff Mtgs, Mgr Mtgs, Company gatherings and community outreach.
  • Function as a team member with all staff members and work towards excellence in serving others.  
  • Perform other functions as deemed appropriate by the management team.

SPECIFIC JOB KNOWLEDGE, SKILLS AND PERSONAL ABILITIES REQIRED:

  • High School Diploma and two years of experience in an office setting, preferably in health care. College degree preferred.
  • Demonstrate proficiency with Microsoft Office (Word, Excel and Outlook) applications, scheduling systems and other health care industry related software. 
  • Ability to listen and communicate clearly, fluently and diplomatically orally and in writing.
  • Ability to remain flexible, resilient, calm and maintain a sense of humor; and present a well-groomed professional image.
  • Ability to plan, organize, prioritize delegate and accurately follow through in work activities with time constraints and interruptions to meet deadlines, as well as, work independently with a minimum amount of direction and/or supervision.
  • Ability to generate goodwill for the organization and its management among staff, clients, and referral sources. Demonstrate a strong commitment to client service excellence.
  • Possess and maintain good physical and mental health, including current TB testing.
  • U.S. Citizen or evidence of valid Alien Work Permit.

PHYSICAL/ENVIRONMENTAL DEMANDS:

  • Sitting, standing, bending, reaching, stretching, stooping, walking, climbing stairs and moving intermittently during working hours.  
  • Must be able to lift at least 25 lbs.  
  • Must be able to properly operate office equipment.  Must have current driver’s license.
  • Must be able to maintain verbal and written communication with co-workers, leadership team, supervisors, clients, family members, vendors and all business associates within or outside the agency.
