What are the responsibilities and job description for the Scheduling Coordinator position at Visiting Angels of Newburyport / Danvers?
The Scheduler is responsible for coordinating services between Clients and Caregivers. This position is responsible for processing incoming calls, and the documentation of client and employee activity through telephone, text and email correspondence.
CLASSIFICATION: Full-time, Non-Exempt
PRINCIPAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS:
The duties and responsibilities for this position are described below. Additional tasks may be assigned from time to time as necessitated by the business demands.
- Constantly responds to changes in caregiver work schedules as necessary, especially call-out and time off request.
- Maintain computer schedules and ensure timely resolution of issues. Determine courses of action with minimal direction
- Monitor service shifts (caregivers’ clocking in and out, late alerts) and caregiver claims (hours worked, mileage, activity notes, and recordings)
- Ensure all shifts are filled in order to meet clients' needs and provide excellent customer service.
- Communicate and refer appropriate matters to the Lead/ case manager for direction.
- Maintain professionalism and positive relationships with clients and families, prospective clients, caregivers and fellow team members.
- Maintain absolute confidentiality of all information pertaining to employees, clients and families.
- Perform other admin functions as deemed appropriate to support the operations.
REQUIRED JOB KNOWLEDGE AND SKILLS:
- Prefer experience in an office setting, preferably in health or homecare.
- Experience with Microsoft Office (Word, Excel and Outlook) applications, scheduling systems and other healthcare industry-related software would be plus.
- Ability to listen and communicate clearly, fluently and diplomatically – both orally and in writing.
- Ability to remain flexible, resilient, calm and maintain a sense of humor in all situations.
- Present a well-groomed professional image representative of the business.
- Demonstrate dependability and reliability.
- Work independently and proactively with a minimum amount of direction and/or supervision.
- Ability to generate goodwill for the Agency with staff, clients, their family members and referral sources.

- This job location would be Newburyport initially. Later, it could be couple of days in Danvers office.

Pay: $22.00 - $25.00 per hour
