We believe in creating a supportive environment for our staff and the families we serve. We are seeking an experienced Scheduling Manager to join our team and manage client and caregiver schedules.
Job Summary: This key role involves overseeing the scheduling of care services, ensuring that clients receive the proper care and attention in a timely and efficient manner. The ideal candidate will have exceptional organizational skills, the ability to manage multiple priorities, and experience in customer service or home care scheduling.
Key Responsibilities:
- Manage the scheduling of caregivers for clients based on availability, skill set, and client needs. Ensure the most appropriate caregiver is assigned to each client based on preferences and care requirements.
- Act as a point of contact for clients and families, addressing scheduling concerns, changes, and requests in a timely manner.
- Maintain and update a detailed scheduling system, making adjustments as necessary due to client cancellations, caregiver call-offs, or new care needs.
- Maintain frequent communication and collaboration with caregivers to confirm schedules and resolve any conflicts or issues that may arise.
- Track and report on scheduling metrics, including caregiver hours, client requests, and scheduling efficiency. Provide regular updates to the office team.
- Respond to emergencies or last-minute requests by quickly adjusting schedules to meet client needs, ensuring continuity of care.
- Ensure all scheduling processes comply with company policies, regulations, and client care standards.
- Communicate clearly and frequently with all office staff to keep them up to date and aware of any major changes.
- Work closely with Care Manager to ensure all clients and caregivers have a good fit.
Qualifications
- Scheduling experience required
- Experience in healthcare/direct client care or front office preferred
- Ability to learn and utilize different software (WellSky is the current software)
- Proficient in using Google Workspace (i.e. Google Calendar, Drive, Docs, etc.)
- Strong communication skills.
- Ability to work independently and as part of a team.
- Passionate about improving the lives of clients through quality care.
- Complete caregiver training and fill shifts, if needed
