Job Summary
The Office Coordinator is responsible for overseeing the daily business operations in accordance with company goals and objectives. The Office Coordinator manages the day-to-day operations of the organization to ensure it runs smoothly. The position effectively and efficiently utilizes resources to maintain high-quality care and customer satisfaction.
Duties
- Ensure the Agency upholds the standards of a high-quality provider through a consistent delivery of high-quality, exceptional customer service.
- Provide timely and effective feedback to upper management.
- Prepare billing documentation as required by the organization to include billing for Medicaid, VA and Private Pay.
- Prepare invoices for all clients in accordance with the established billing cycle as required by the organization.
- Pay customer statements/invoices and effectively manage past due accounts.
- Receiving and entering customer payments from various sources to include from reports run, incoming mail and e-mail.
- Handling spend downs.
- Prepare the daily bank deposit and deposit funds at the end of each day if applicable.
- Run/Print bank and credit card reports/summaries monthly and complete bank and credit card reconciliations. To include the handling of receipts.
- Prepare a weekly report on overdue accounts.
- Prepare reports of the organization’s standings according to required timelines. To include daily, weekly and monthly reports.
- Handling phone calls in regards to payments and invoices.
- Handling of Insurance Inquiries and necessary paperwork to include insurance submission forms for employees.
- Handling of Dpt.of Labor inquiries and necessary paperwork.
- Handling of Unemployment claims and necessary paperwork.
- Handling of Wage Garnishment paperwork.
- Handling of Collections paperwork.
- Handling of Income Withholding Order paperwork.
- Handling of Worker's Compensation to include necessary paperwork.
- Upkeep employee files in AxisCare when applicable.
- Upkeep employee file folders when applicable.
- Handling of Royalties.
- Handling of expense reports.
- Handling of profit and loss reports.
- Tax preparations.
- Handling of Audits.
- Necessary Filing.
- Check Email and Voicemail regularly throughout the day.
- Provide general support to office visitors.
- Support change and speak positively about it with employees.
- Understand the importance of each task and prioritize the work load, shifting priorities to accommodate change and demand.
- Examine all relevant and available facts to make timely, well-informed and appropriate decisions; explore alternatives and commit to action.
- Work toward making high-quality decisions that achieve organizational goals.
- Maintain absolute confidentiality of all information pertaining to employees, clients and clients’ families.
- Maintain regular and predictable attendance.
- Perform duties deemed appropriate by your direct management team.
