Position Summary
The Receptionist / Scheduler is the first point of contact for clients, families, and caregivers. You’ll manage inbound communications, coordinate care visits, and maintain accurate client and caregiver records. This role requires strong organizational skills, a friendly demeanor, and the ability to juggle multiple priorities in a fast‑paced office environment.
Key Responsibilities:
Front‑Desk & Phone Duties
- Greet visitors and clients in person with warmth and professionalism.
- Answer, screen, and direct incoming calls; take messages and follow up as needed.
Scheduling & Coordination
- Create and maintain daily/weekly caregiver schedules using scheduling software (e.g., AxisCare).
- Coordinate changes, cancellations, and emergency coverage requests.
- Confirm upcoming visits with clients and caregivers.
Client & Caregiver Records
- Enter and update client intake information, service plans, and caregiver assignments in the database.
- Track visit notes, time sheets, and mileage logs for payroll and billing.
Administrative Support
- Prepare and distribute correspondence, care visit confirmations, and office memos.
- Order office supplies and maintain a tidy reception area.
- Assist with billing inquiries and route more complex questions to the finance team.
Team Collaboration
- Liaise between clients, families, caregivers, and care managers to ensure smooth service delivery.
- Escalate client or caregiver issues to supervisors promptly.
Qualifications
- High school diploma or equivalent; additional coursework in office administration or healthcare is a plus.
- 1–2 years of receptionist, scheduling, or administrative experience—ideally in healthcare or social services.
- Familiarity with home care software or CRM systems preferred.
Skills & Abilities
- Communication: Excellent verbal and written skills; patient and empathetic phone manner.
- Organization & Multitasking: Ability to prioritize competing demands and manage a dynamic schedule.
- Technical Proficiency: Comfortable with Microsoft Office (Word, Excel, Outlook) and quick to learn new software.
- Attention to Detail: Accurate data entry and record‑keeping.
- Team Player: Cooperative attitude and willingness to pitch in where needed.
Working Conditions
- Full‑time, Monday–Friday, 8:30 AM–5:00 PM (with occasional early/late shifts as needed).
- Office‑based position
- Fast‑paced environment with frequent phone and computer use.
