Role Mission:
The Assistant Principal - Operations (APO) is responsible for all matters of school administration that do not directly relate to instruction. In this role, you will coach and manage the operations team, manage the school facility and daily operations systems, and ensure the daily functioning of the school reinforces VCP’s mission. The APO will report directly to the school Principal and receive coaching from both the Principal and the Network Director of School Operations (DOO). The APO will lead, coach, and manage the school’s operational team consisting of the Office Manager, Office Assistants, and Fellows.
Your impact:
School Operations
- Manage and coach the Ops Team to ensure continued growth, development, and unity of team members;
- Prepare the campus for start-up/new school year by ordering furniture, equipment, and classroom supplies as well as ensuring that school services (i.e., student food services, student transportation services, are lined up and ready for action);
- Working with the DOO, manage instructional and office supply procurement to ensure that all materials are in stock and teacher requests are fulfilled, while tracking expenditures;
- Manage food services to ensure on-time meal deliveries, availability for field trips, and compliance with federal food regulations, including sanitation standards;
- Manage school student information database system and generates reports as needed by the teaching staff, DOO, and the school Leadership Team;
- Oversee creation and distribution of report cards and manages parent teacher conferences;
- Ensure the school maintains accurate student records, including, but not limited to, student attendance, and residency information;
- Manage and execute attendance and tardy analysis procedures to ensure students are arriving to school, on-time, every day;
- Manage all student medical/allergy information and the administration of medicine;
- With support from the Vista College Prep Network Office, ensure compliance with all state, federal, and local employment laws and policies;
- Manage all school vendors (enrichment providers, janitorial services, landscaping, plumbing, etc.) to ensure tasks are completed to meet the needs of our facility and school community;
Parent and Family Engagement/Student Recruitment
- Oversee enrollment at school site and, as required, lead the enrollment process by working with the school leadership, teachers, and administrative team to meet enrollment targets;
- Correspond regularly with families regarding school policies, trips, events, and milestones;
- Organize and facilitate orientations for new and returning families, including organizing and arranging home-visits at the start of every year;
- Oversee logistics for school-wide events including family academic nights, field trips, vision tests, school picture days, permits, school calendar, and immunizations shots;
- Respond to family concerns promptly and effectively;
Facility
- Respond to facility-related requests and alerts in a timely manner;
- Execute daily building walk-throughs to ensure safety, efficiency, and organization;
- Ensure that the school is neat, clean, and that minor repairs are done quickly;
- Ensure curricular materials, furniture, and equipment are properly stored and accessible when needed;
- Coordinate fire, evacuation, and crisis response drills with the Principal;
- Work with appropriate staff to ensure hallway and general facility decorations (especially posted student work) are updated and maintained regularly
Transportation
- Work with DOO and transportation company to adjust school bus routes and schedules, taking into account school calendars, address changes, new students, school and student needs, and various service requests;
- Ensure proper distribution of schedules, routes, and other information to schools, and parents;
- Coordinate with Manager of Community Engagement to schedule field trip transportation as needed;
Scheduling
- Create and manage recess schedules;
- Manage coverage when staff members are out of the building and collaborates with Principal to ensure all classrooms, systems, etc. can still function in the event of staff absences;
- Assist in scheduling family-teacher conferences, family events and special schedules for Interim Assessments and state-wide standardized tests;
- Plan accordingly for half-days and early release dismissal days;
School Leadership
- Actively serve on the School’s Leadership Team;
- Work with the Principal and Leadership Team to support scholars with behavioral needs;
- Ensure that the school runs smoothly, efficiently, and on budget;
- Review school invoices to ensure accuracy and ensure that the school runs smoothly, efficiently, on budget, and on time;
- Support faculty, scholars, and families with a superior level of customer service, enabling teachers and school leaders to focus exclusively on teaching and learning;
- Collaborate with the Leadership Team to maintain strong staff culture and a warm, collegial and mission-focused environment for faculty and staff;
- Work with the DOO and School Leadership Team to develop, refine, and/or codify school policies and procedures;
- Coordinate with the DOO to ensure smooth operations, identify needs, and facilitate flow of information;

Qualifications:

- Track record of producing dramatic, demonstrable student achievement gains or comparable results
- Strong organizational skills and the ability to consistently deliver on time, even amidst many moving parts
- Ability to approach situations with optimism and perseverance
- Excellent communication skills
- Spanish proficiency or fluency preferred, but not required
- Minimum of two years teaching experience in urban public school setting preferred, but not required
- Possession of a Bachelor’s Degree; Master’s degree preferred and ability to obtain a valid IVP Fingerprint Clearance Card
