Position Summary

The Operations Coordinator will play a crucial role in supporting the Office of the CTO by supporting various business planning and operational processes, providing administrative support for key engagement forums, and being a trusted partner to the IT team for any process support and training. This position requires strong organizational skills, attention to detail, analytical mindset and the ability to manage multiple tasks simultaneously.

Responsibilities

  • Support the coordination and organization of the annual business planning process, including meeting scheduling, agenda and content preparation, and note-taking.
  • Assist in the coordination and organization of the quarterly business planning and review process, ensuring all meetings are scheduled, agendas are prepared, and notes are taken.
  • Support content creation, logistics organization, note-taking, and follow-ups for key engagement forums such as all-hands meetings, tech innovation hours, and leadership team meetings.
  • Assist in the coordination and content compilation of IT roadmap reporting.
  • Provide administrative coordination related to enterprise change initiatives, supporting the Head of Strategy & Operations.
  • Manage contract-related activities by hosting monthly contract office hours, delivering training to new hires, and publishing a monthly contract report for upcoming renewals.
  • Support the preparation of the annual budget build and associated presentation analysis and materials.
  • Maintain monthly or quarterly financial reporting publications for the tech leadership team.
  • Create and maintain a calendar for recurring reviews and refreshes of IT policies and procedures.
  • Coordinate maintenance activities related to IT policies and procedures.
  • Prepare training materials on IT goal-setting tools (e.g., OKRs).
  • Create and manage an annual IT team training spend tracker.

Qualifications

  • Bachelor’s degree in business administration, or a related field preferred.
  • Proven experience in an administrative or coordination role.
  • Strong organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy.
  • Experience with project management a plus.
