What are the responsibilities and job description for the Community Manager position at Vista Lakes Community Association?
This position will be responsible for all day-to-day management of Vista Lakes Property and employees. Managing all aspects of the community including operations of facilities, grounds, and personnel. Assisting with specific needs of the community administratively, financially, and operationally, while adhering to the governing documents of the community and addressing request in a timely manner. We are looking for a leader who has a proven record of building and maintaining a large Community with a Homeowners Association requiring minimal direction, while being able to be proactive in developing new strategies to increase efficiency and staying current within the industry. The Manager will need to be a team player that is well-versed, provide a welcoming atmosphere with exceptional interpersonal skills, have excellent verbal and written communications skills, strong organizational skills, time management skills, and has the ability to step in for all direct reports.
· Organize and conduct Annual and Quarterly meetings to include: Budgets, Board Meetings, Audits, Assessments, Employee Medical Insurance, Insurance, and other contracts as needed.
· Responsible for all ARC application reviews/approval process and interaction with residents.
· Responsible for staying relevant with all City and County activities, outreach programs for the community, and anything else that is in the best interest for Vista Lakes Community.
· Responsible for annual inventories to be taken of all association physical assets.
· Responsible for all maintenance of HOA facilities, including amenities, pools, parks, grounds and supervision of vendors.
· Prioritize and organize Board assigned projects.
· Manages staffing and projects within approved Budgets.
· Responsible for hiring and separating employment with Broad approval.
· Responsible for ongoing training and overseeing of Assistant Managers functions.
· Required to interface with Associate Attorneys and provide assistance.
· Act as an agent for the community in contract negotiations, landscaping inspections, and other common area projects and inspections.
· Investigate complaints, disturbances and violations made within the community
· Track insurance and all quarterly/annual contract renewals and ensure that the Board of Directors has insurance renewals proposals timely.
· Notice budget workshops and work with The Board of Directors to develop a viable and financially responsible final proposed budget.
· Schedule and attend Mediation Hearings with Legal when required.
· Responsible for reviewing, analyzing, and reporting monthly financials.
· Responsible for reviewing, analyzing, and reporting monthly reserve study recommendations.
· Responsible for responding to all emails, voicemails, and written inquires within established timelines.
· Responsible and accountable for all project management for special projects identified/approved by the Board. To Include: establishing project requirements, gathering proposals, developing project times, and successfully executing projects within timelines and budgets.
· Responsible for direct interface with residents regarding any inquiry.
· Responsible for the Vista Lakes Newsletter and anything that encompasses it.
· Responsible for researching cost efficient ideas/improvements for the community and presenting them to the Board, as well as recommendations for repairs/replacement of Association property.
· Assist in HOA events throughout the year.
· Provide residents with any necessary information regarding community news, upcoming events, community rules/regulations, and any other pertinent material.
· Negotiates with different vendors/contractors in the best interest of the Community.
· Conduct routine inspections for all of the Vista Lakes Community property.
· Maintain CAM continuing education requirements.
· Collect information, provide guidance, and support for the Committee Chairs established by the Board.
· Responsible to stay relevant within new policies/procedures that can be incorporated in the community.
· Assist the Front Desk or any committee when needed.
· As a licensed CAM, ensure compliance with all applicable State Laws and Regulations.
· Responsible for conducting regular monthly team meetings and recognizing employee performance.
Provide weekly updates via email to the Board highlighting all accomplishments and major activities supporting ongoing projects.
Job Type: Full-time
Pay: $70,000.00 - $85,000.00 per year
