Infrastructure Project Coordinator
The Infrastructure Project Coordinator will provide administrative support to the Infrastructure Project Manager by overseeing project documentation, record-keeping, and reporting tasks. This role ensures that all project records are accurately maintained, helping to streamline project management and assist with compliance tracking. The Coordinator will also support the coordination of communications between internal teams and external stakeholders, handling the scheduling of site visits and assisting with reporting requirements.
Accountabilities:
- Maintain accurate and up-to-date project documentation, including contracts, permits, progress reports, and safety records.
- Track project milestones, ensuring that deadlines and timelines are met.
- Assist in preparing regular status reports for leadership, detailing progress, risks, and any issues that may arise.
- Schedule and coordinate site visits, meetings, and stakeholder engagements, supporting the Infrastructure Project Manager with logistics.
- Help manage the flow of communication between contractors, stakeholders, and the project team to ensure smooth operations.
- Organize and maintain files related to project permits, inspections, and compliance with local, state, and federal regulations.
- Provide administrative support for the procurement of necessary equipment, staging areas, and other logistics.
- Assist in identifying areas for process improvement and ensure project documentation is in line with company standards.
Skills:
- Strong organizational and administrative skills with the ability to handle multiple tasks simultaneously.
- Project coordination or administration in an infrastructure or construction setting.
- Familiarity with documentation management, reporting, and compliance tracking.
- Proficiency in project management software (Trello, or similar).
- Strong communication skills, with the ability to collaborate effectively across teams and with external stakeholders.
Education and Experience:
- High school diploma or equivalent.
- Administrative support.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
