POSITION SUMMARY:
The Speaker Relations Representative is the primary contact for more than 900 independent speakers and plays a vital administrative role on a team that supports approximately 8,500 executive peer group meetings annually. This position serves as a key liaison between Vistage Chairpersons (Chairs) and speakers, ensuring that speaker recommendations align with Chair needs while optimizing scheduling and expenses.
Key responsibilities include providing support to both speakers and Chairs and onboarding new speakers. The role also involves ensuring adherence to Vistage policies, maintaining speaker availability across all topic areas and database accuracy.
Success in this role requires senior-level customer service and relationship management skills, critical thinking, attention to detail, and the ability to collaborate effectively. The ideal candidate will be highly organized, adaptable, and capable of handling interactions with discretion and professionalism.
The Speaker Relations Representative is measured on his/her ability to meet the demands of our Speaker and Chair communities by coordinating a high volume of speakers across the United States. The selected individual must be very organized and able to effectively manage their time to accomplish multiple tasks within deadlines.

RESPONSIBILITIES
- Manage strong corporate relationships with Speaker community (900- 1000 speakers)
- Work closely with Vistage Chairs to recommend, coordinate and schedule speakers (the department handles approx. 8500 meetings annually), while optimizing the scheduling and expense of the speaker resources
- Onboard new speakers
- Provide one-to-one assistance for Speaker questions and adherence to Vistage policies
- Provide one-to-one assistance for Chairs to utilize Speaker tools and resources
- Recommend speakers who best align with Chair requests based on knowledge of available expertise
- Ensure adequate speaker availability for all topic areas and all product types
- Coordinate content, produce, and recommend improvements for speaker communications, including website announcements/resources and email communications
- Produce communications to support individuals who engage Speaker Relations resources, including Chairs, admin assistants, and other Vistage departments
QUALIFICATIONS

EDUCATION and/or EXPERIENCE

- Computer knowledge to include Windows, MS Office, database operations and Internet research, Salesforce.com is a plus
- Working knowledge of basic accounting practices
- Proactive and adaptable work style
- Prior experience with an independent channel a plus
This position requires regular contact with high-level clientele including Chairs, Speakers and internal staff members. It involves considerable tact, discretion and persuasion in order to obtain willing action and consent.
TOTAL COMPENSATION RANGE
$28-$30/hour Company Bonus (salary based in San Diego, CA)
