The Senior Marketing Workflow Specialist will streamline marketing project execution playing a pivotal role in ensuring the smooth and efficient execution of marketing projects from inception to completion. This role will be instrumental in ensuring that marketing projects are managed efficiently, adhere to compliance standards, and contribute to overall team success. Key responsibilities include: • Project Management: Oversee the entire project lifecycle, from intake to completion. • Process Optimization: Continuously identify opportunities to improve efficiency and streamline workflows. • Data Analysis: Generate reports and analyze data to inform strategic decision-making. • Compliance Adherence: Ensure all marketing materials align with healthcare industry regulations. Must be able to work on-site in our Corporate Miami, Florida office Monday-Friday 8am- 5pm. Hybrid schedule.

• Project Intake Management: Responsible for managing all marketing projects into our project intake system. This includes making sure project details, timelines, and resource requirements are accurate.
• Project Sizing and Planning: Determines project scope and complexity to allocate appropriate resources and timelines. Collaborates with the creative team to establish project deliverables and milestones.
• Internal Project Management: Provides day-to-day project management support to the creative team, ensuring projects stay on track and meet deadlines.
• Compliance Adherence: Ensures all marketing materials adhere to strict compliance standards and regulations within the healthcare industry.
• Data Analysis and Reporting: Generates regular reports on marketing team productivity, project timelines, and resource utilization. Analyzes data to identify trends and opportunities for improvement.
• Process Improvement: Continuously seek ways to optimize project management processes and improve efficiency within the marketing team.
• Works with vendors to gather information and pricing bids for printed and promotional collateral requests; manage timely delivery of such items.
• Works closely with project owners and subject matter experts to assign and monitor progress of all working pieces for projects.
• Collaborate with all teams to create strategic roadmaps of upcoming projects to amplify our employee engagement.
• Facilitates traffic for all areas involved in the delivery of a project or campaign.
• Ensures project deliverables are met in accordance with stakeholders’ expectations and the VITAS brand, vision, and values.
• Manages and monitors the end-to-end Workfront process with expertise, including monitoring workflows, tasks, reviews, and project status; identifies, recommends and leads process improvements.
• Executes project management best practices and tactics that align with brand objectives/goals.
• Communicate with the departments, company and leadership, measuring and sharing project metrics/status; recommend program changes as needed.
• Identifies, communicates, and resolves areas of concern, or cross-organizational issues that may impede or impact other projects/initiatives.
• Maintains/archives project documentation.
• Participate in team brainstorming and creative sessions to collaborate with others on new ideas and initiatives.
• Builds and nurtures positive business relationships with internal clients through contact report follow-up notes and regular status meetings.
• Performs other related duties as assigned.
QUALIFICATIONS

Experience:
• Minimum 5 years of relevant experience.
• Strong project management skills and attention to detail.
• Proficiency in data analysis and reporting.
• Excellent communication and interpersonal skills.
• Must have superior organization skills
• Ability to work on various assignments simultaneously and meet deadlines
• Strong interpersonal skills and team player within all levels of the organization
• Ability to communicate tactfully, verbally and in writing with vendors to resolve problems and negotiate resolutions
• Ability to navigate within automated systems and proficiency in Adobe Workfront, Outlook, Word and Excel
• Bilingual a plus.
Education:
Bachelor’s degree in Marketing, Advertising, Communications or related field from an accredited college or university or the international equivalent required.
