Administrative Assistant Position
The admin assistant position is completing support tasks, communicating with clients by phone or email, and preparing, reviewing, and organizing client documents and statements. Flexibility and adaptability are essential for changing priorities, and database experience is necessary.

Full-time
Duties and responsibilities:
- Manages assignments from upper management with frequently changing priorities and deadlines in a fast-paced environment.
- Matching inbound coils paperwork with BOL, invoices, and logistics
- Corrective actions
- Accounts payable, matching invoices, making sure they are correct and the correct amount.
- Accounts payable, ensuring our vendors are paid correctly and promptly per terms.
- End-of-month reports
- Working on commissions for the sales team
- Organize client/vendor accounts—prepare client/vendor forms, process and follow up on necessary paperwork, enter data, and regularly update the client database.
- Assist with mailings and special projects.
- Filing, scanning, and faxing client documents.
· Ordering supplies (checking multi-vendors for best pricing)
· Scheduling outbound/inbound trucks (finding the lowest rates for pickups w/ reliable carriers & new carriers that are competitive with our lanes), setting up meetings with trucking companies, and working with our trucking reps)
· Filing Paperwork
· Light cleaning around the office
· Ordering food for Lunch
Skills needed:
- Strong time management skills
- Ability to adapt to changing priorities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office and QMS systems
- Database experience a must.
- Excellent computer skills and very tech savvy are a plus.
Schedule:
- Monday to Friday, 8:30 am-5:00 pm
