What are the responsibilities and job description for the Study Abroad/Away Program Coordinator position at Viterbo University?

The Division of Diversity, Equity, and Inclusion (DEI) at Viterbo University is looking for a dynamic, part-time Study Abroad/Away Coordinator to help advance the coordination of study abroad and away programs across campus. In this role, you'll collaborate with various departments to streamline and enhance these life-changing experiences for students. This position offers flexible hours-up to 29 hours per week-over a 12-month period, with occasional evening and weekend commitments. Essential Duties and Responsibilities:
- Support students through the application process and advise students on program logistics
- Develop, coordinate, and implement educational, social, and cultural programs connected to study abroad/away across the university, including International Education Week, Viterbo's International Week, and Study Abroad Fairs
- Administer international travel forms through E-trieve.
- Develop new relationships and enhance existing partnerships with faculty, international institutions, and study abroad program providers
- Coordinate all documentation, recruitment, and program coordination for study abroad/away programs and initiatives, ensuring timely and accurate information flow
- Manage efficient administrative processing, budget creation and reconciliation, Stark scholarship selection, insurance enrollment, and third-party provider relationships
- Prepare health and emergency response packets for program leaders, program evaluations, and thorough risk assessments
- Maintain department budget and adhere to Viterbo University's purchasing policies and procedures
- Maintain regular communication across the university to keep information up to date
- Deliver presentations about DEI study abroad/away programs and pre-departure sessions
- Attend and participate in DEI division meetings, and engage in professional development, training, and networking opportunities
- Advise DEI interns, volunteers, and student workers on study abroad/away projects and administrative tasks
- Develop content and promote engagement with DEI's study abroad/away on social media, websites, and other communication channels
- Perform other duties as assigned
General Requirements/Qualifications:
- Must be interested in learning about study abroad and diversity, equity, inclusion, and belonging
- Professional oral and written communication skills
- Proficient with Microsoft Office software.
- Must be authorized to work in the United States. Viterbo University is unable to sponsor or take over the sponsorship of the Employment Visa.
