Front office & billing / coding manager - Medical Practice
We are looking for a dynamic candidate with people skills, experience and certification in medical billing and coding to manage revenue cycle for our medical practice, with confidence and competence. This person will function as the front office manager with a variety of responsibilities. The candidate must be well-spoken, exceptionally qualified and motivated to be the “face of our business” for patients entering the office.
We’re adding insurance payments to our current cash-based concierge practice and opening a second location. Our team is working hard to put the systems in place for a transition to a hybrid model, while still offering many uncovered office procedures and services. It’s going to take some work, but we’re excited to find the right person to take the lead in this transition.
The position requires above-average attention to details, concern for the exact correctness of work, and strong commitment to completing tasks on time. The person in this position will take work seriously, with a strong sense of duty and discipline. The job involves a somewhat faster-than-average pace, and a lot of detailed, specialized work.
The ideal candidate will be trusted to dive right in, take the lead, learn about the type of medicine we practice, use initiative, and help build a thriving medical practice.

Job responsibilities
1) Billing and coding
- Provides clear and professional patient/family interaction to follow up on any outstanding bills or insurance inquiries.
- Enters demographics for new patients and updates existing patient information.
- Verifies patient information is complete and includes all necessary authorizations.
- Verifies patient insurance and other third-party payer coverage through billing system and outside payer and vendor portals.
- Provides response to patient financial inquiries with attention to confidentiality.
- Reconciles daily charges to provider schedules.
- Reviews medical records to determine all appropriate diagnostic and procedural code assignments using appropriate classifications systems.
- Selects appropriate CPT and ICD-10 codes from documentation and enters charges into health record billing system. Assigns charges as appropriate.
- When necessary assigns codes to medical diagnosis and procedures using appropriate coding classifications for assigned areas / record types.
- Post both insurance and patient payments.
- Perform completion of claims to payers along with necessary claim corrections.
- Follow-up on denials from insurances, resolve and manage appeals.
- Achieve maximum reimbursement for services provided.
- Communication with provider and RN manager on coding, compliance and documentation issues.
- Corresponds with providers to offer guidance with documentation requirements. Seeks clarification to ensure accurate and complete coding.
- Performs monthly documentation audits and communicates deficiencies to providers.
- Deploy, maintain and report on various programs, including sales tax accounting and payments.
- Conduct duties in a professional and timely fashion.
- Do Medicare reviews.
- Enhances coding knowledge and skills with continuing education activities and by reviewing pertinent literature.
- Performs other tasks as requested by management.
2) Front Office Manager
- Helps new patients schedule appointments and makes sure that follow up appointments are made in a timely manner.
- Greets everyone at the front door, helping each patient feel comfortable in the office.
- Collects detailed health history reports for each patient.
- Measures and records vital signs including heart rate, blood pressure, temperature, body composition and other measurements as trained.
- Cleans and sanitizes provider office (or other rooms) and medical equipment between patient visits.
- Keeping the office area tidy and organized.
- Helping patients with prescription refill requests.
- Prioritizing phone calls with questions for the physician.
- Helping the office stay on schedule.

Required skills
- Coding-related certification from AHIMA or AAPC
- Minimum of 3 years experience as professional medical outpatient billing/coding.
- Proficient in electronic medical records

Preferred skills and qualification
- Bilingual, Spanish-speaking
- Computer skills: Customer Relationship Management (CRM) software (we use Zoho), Electronic Health Record (EHR) software, patient/provider portals, office work-suites (documents, sheets, presentations), videoconferencing, online scheduling, etc.
Salary and Benefits:
The salary range (or hiring range) for this position has been established at $50,000-$75,000, ($25-$37/hour), according to skills and experience, with additional incentive-based bonus, as determined.
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
The above salary range (or hiring range) represents ViveWell Health’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
This position is not eligible for overtime compensation.
