What are the responsibilities and job description for the Office Support and Front Desk Administrator position at Vivian Vazquez?
We’re looking for a friendly and organized individual to be the face of our company! As the Office Support and Front Desk Administrator, you’ll be the first point of contact for visitors and clients, handling a variety of tasks that keep the office running smoothly.
What you get to do:
- Greet visitors and answer incoming calls with a professional and friendly demeanor
- Manage emails, voicemails, and route them to the appropriate team members
- Update attendance records (PTO and absences)
- Log jobs daily and handle office deliveries (Sparkletts, mail, FedEx/UPS)
- Ensure office supplies (coffee, restrooms, etc.) are stocked and maintained
- Coordinate hotel reservations and assist with scheduling
- Assist with monthly meetings (light breakfast setup for about 20 people)
- Handle small tasks like watering plants, setting up holiday decorations, and more!
What we are looking for:
- Previous office admin or front desk experience preferred
- Familiarity with Nortel 7324 switchboard is a plus, but not required
- Strong organizational skills and attention to detail
- Ability to multitask and handle a variety of duties
- Positive, welcoming attitude and excellent communication skills

Job Type: Full-time
Pay: $21.00 - $24.00 per hour
Expected hours: 40 per week
