Viwinco is searching for an Operations Specialist to join our organization! This role will perform analysis of operations performance metrics, production scheduling responsibility, support and coordinate projects, events, and initiatives across the entire Operations team.
Roles and Responsibilities
- Working with the leadership team to coordinate, support, and assist with the ongoing activities, projects, and initiatives within the operations team
- Analyze operations performance metrics for reporting, identify trends, and provide executive summary to the leadership team
- Production scheduling and order management through the manufacturing system on a part time basis as a backup resource
- Assist in the planning, execution, and tracking of projects, supporting the overall target of completing the respective project within scope and budget
- Coordinate operational meetings and events with the key stakeholders
- Lead the preparation (space, calendar, materials, translation and agenda etc.) for monthly townhalls and quarterly plantwide communication meetings
- Organize and maintain project notes, documentation, and associated output
- Assist in the prioritization of tasks based on their impact and alignment with organizational goals
- Respond to vendor/ 3rd party inquiries
- Coordinate vendor/ 3rd party events and meetings
- Identify and resolve operational issues and challenges within the various projects and initiatives
- Work with Operational leaders in updating and maintaining metric data related to Safety, Quality, Delivery, and Cost.
- Collaborate across multiple functions to meet project expectations and timelines; ensuring follow-up with those inter-team functions to ensure completion
- Handle sensitive information and maintain a high level of confidentiality at all times
- Other duties as assigned; Flexible to perform administrative type task
Requirements
- At least 2 years of Operations or Administrative experience
- Experience supporting and coordinating projects required
- Manufacturing industry or related industry experience preferred
- Must be process and detail oriented
- Demonstrated Problem solving mindset
- Proficient in Microsoft Office suite
- Proficiency in data analysis tools: Expertise in software like Excel, SQL, and data visualization tools
- Advanced level Microsoft Excel experience (Formulas, Chart creation, macros, advanced functions and analytics)
- Communication skills: Effectively presenting findings and recommendations to stakeholders at various levels
- Business acumen: Understanding of business operations and strategic objectives
- Comfortable working in both the office and manufacturing shop floor environments
- Lean Manufacturing education or training is a plus
