Summary
This position consists of Conference Room management and set up.
Will be setting up tables, chairs and AV equipment.
This position is high-level customer facing candidate.
Must be able to interact with all levels of the customer in a professional manner as well as take direction, vision and set-up instructions and ensure that they meet the client's expectations.
Must be willing to help with other duties performed by Client at the customer location. For example, mail deliveries and copy/print production.
This is a very physical job. We need someone that can manage the process of conference room requests as well as perform all of the set up.
There is a large amount of walking required due to the sheer size of the customer location. Also, there will be lots of moving tables and chairs for set-ups through the customer's 4 buildings.
Must be able to take the lead and meet the customer expectations. Someone with conference room set up experience would be the best candidate.
They will need to be able to work independently, follow direction, and stay on task with a results-driven can-do attitude.
This person must be flexible with their schedule as well. Lifting and move up to 100# with help.

Typically Requires:
- High school or GED is required.
- 1 years of experience in a related field (B2B and/or technical).
- Previous 1 year Customer facing work experience required.
- Demonstrated knowledge and understanding of technology.
- Tactical thought processing.
- Ability to present to a small group.
- Moderate Problem-Solving Skills.
- Basic Customer Service skills.
- Basic Technical aptitude.
- Basic Written and Verbal Communication skill.
Responsibilities
Responsibilities –
- The Conference Room Specialist will be responsible for providing Corporate Hospitality and Conference Room Management, in addition to other support services on-site daily.
- Set-ups and breakdowns for meetings, assist with clean up, arrange tables as needed, ensure conference room cleanliness.
- Schedule and coordinate conference rooms
- Ensure site common areas are clean, neat and supplies are well-stocked, maintained, and presentable; includes taking inventory and ordering additional office supplies.
- Cross-train for other services provided on-site, to include Mailroom services and Copy/Print services, Order supplies.
- Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude.
- Consistently adhere to business procedure guidelines; Take direction from supervisor or site manager; Adhere to all safety procedures.
- Perform other tasks as assigned.
- Excellent communication skills both verbal and written; Ability to effectively work individually or in a team environment; Competency in performing multiple functional tasks.
- Lifting to 55 pounds when needed; extended periods of walking and standing.
- Knowledge of accommodating room capacities and organizing set-up requirements from information on Event Orders
- Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with a minimum of supervision.
Accountable for daily operations of solo-person site.
Responsible for performing the contracted office services including, but not limited to: Copy services, Courier Services, Managed Print services, Hospitality, Imaging and Mail services. Responsible for daily operations of a mail room, copy center, or scanning facility including operating office equipment such as: PC, Copiers, Multifunction Devices, Imaging & Mail Equipment.
- May be responsible for: Courier Services, Reception Services, Switchboard Operations.
Shipping & Receiving, Delivering and Processing of Mail.
- Handles formal contact with the customer, on a daily basis.
- Responsible for effective implementation and management of RICOH Service Excellence programs.
- Understands how to operate the required equipment/software efficiently to achieve service level agreements.
- Achieves profitability in the area of cost of goods by effectively utilizing company materials and supplies.
- May maintain daily routine functions to include creating/completing work orders, contractor monitoring, inspections, reporting facility related issues, lending support as required.
- May include interaction with contracted vendors, facility management and occupants.
- May be responsible for office-supply inventory re-ordering.
- May be responsible for Conference room coordination and A/V equipment resource management.
- Maintains positive internal working relationships with all department employees by communicating in a professional manner.
- Collects and provides data to assigned leadership and customer.
May include completing. monthly reports to customers with support from assigned leadership.
- Ensures financial responsibilities are met.
- Performs other duties as assigned.
