Position Overview:
The Contract Administrator at VMJR Companies plays a crucial role in managing and overseeing contract processes to ensure accuracy, compliance and efficiency. This position is responsible for reviewing and administering contracts, tracking project documentation, coordinating with stakeholders, and maintaining precise records to support successful project execution.
Reporting to the appropriate project and financial leadership, the Contract Administrator ensures adherence to company policies, industry standards, and contractual obligations while facilitating seamless communication between internal teams and external partners.
This role requires exceptional attention to detail, strong organizational skills, and the ability to thrive in a fast-paced construction environment. The ideal candidate is proactive, and committed to upholding the integrity and efficiency of contract management process.
Key Responsibilities:
- Prepare, review and administer contracts, subcontracts, purchase orders, proposals, amendments, and change orders.
- Ensure all contracts comply with company policies, standards and industry regulations.
- Monitor contract deadlines, deliverables and obligations to ensure compliance
- Maintain accurate and organized contract records, amendments, and correspondence.
- Track and manage certificates of insurance, bonds and other contractual requirements.
- Assist with contract closeout procedures, ensuring all documentation is complete and properly archived.
- Act as liaison between project managers, clients, subcontractors, and legal teams to clarify contract terms to resolve discrepancies.
- Administrative Support
- Prepare and distribute contract-related reports, drawings, summaries, and tracking logs.
- Assist with procurement and subcontractor onboarding, ensuring all necessary agreements are in place.
- Collaborate with accounting and project teams to reconcile contract-related financial data.
Qualifications:
- High school diploma or equivalent (required); associate or bachelor’s degree in business administration, construction management or related field (preferred).
- 2-5 years of experience in contract administration, project coordination or a related role in the construction industry.
- Familiarity with construction contracts (AIA documents, subcontract agreements, change orders and compliance requirements)
- Experience working with contract management software and financial systems (e.g., Procore, Sage, or similar)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Excellent communication skills to coordinate with project managers, subcontractors, and clients
- Strong organization and multitasking abilities to manage multiple contracts simultaneously.
- Detail-oriented with a proactive problem-solving mindset.
- Ability to work independently and collaboratively in a fast-paced construction environment.
Job Type: Full-time
Pay: $45,000.00 - $65,000.00 per year
