Overview
We are seeking a highly organized and proactive Office Administrator to join our Construction and Remodeling business. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a knack for multitasking.
Office administrator tasks:
Preparing, organizing, and storing information in paper and digital form
Assisting management with preparing construction documents, building permit applications, and other documents needed to obtain permits
Ability to become a public notary, and notarize documents
Basic bookkeeping duties include logging indirect costs, paid expenses, invoices, receipts, etc. Also logging direct expenses related to specific projects.
Dealing with queries on the phone, CRM, SMS text, email, social media and any other way a client may contact us
Rather it be in bound or out bound; leads, prospects, existing/ previous clients
Following up with all leads; new and old leads
Listening to and logging all concerns, complaints, problems a client may be having and come up with a resolution e.g. follow up with management how to rectify the situation and get back to client with the solution
Greeting visitors at reception
Dressing to impress, being clean cut and well kept, using good vocabulary not swearing or using profanities
Presenting marketing materials, provide an overview of the business and what we offer/ do
Scheduling time for management to consult the prospective client in trade/ case specifics
Managing record logs, scheduling meetings, and booking rooms
Keeping a record of what has happened, and what needs to be done
Scheduling meetings with management in real time by coordinating times with both client and management simultaneously
Booking rooms or special accommodations to have meetings with various people and places
Arranging travel and accommodation
Booking flights, hotels, rental cars, rides, etc. for business trips
Arranging post and deliveries
Arranging and being in a specific location and time, or going to a postage location e.g. Fed Ex, UPS, USPS, etc. to send or receive letters, packages, mail etc.
Running to the bank to deposit checks, and/ or online deposits
Taking minutes at meetings
Recording and logging keynotes in a meeting for future references
Typing up letters and reports
Assist management with numerous items to type up or documented
Updating computer records using a database
Using the online platforms and computer systems to keep up to date records e.g. photos, pdfs, documents etc.
Printing and photocopying
Ordering and pickup of blueprints, printing/ hand delivering of documents to governments, and other businesses
Printing miscellaneous documents for management
Ordering office supplies/ misc. supplies
Creating shopping lists and getting approval, sourcing and pickup or order online
Maintaining office systems
Includes but not limited to, accounting, finance, inventory, order fulfillment, distribution, and shipping. The admin will help to keep the system working in an orderly fashion, with the direction and help of management
Liaising with suppliers and contractors
Soliciting new suppliers and contractors when needed to fulfill the needs of the business
Reaching out to existing suppliers, and contractors when they are needed
Creating a bid list and soliciting the bid list for specific project needs
Purchase orders
Social media
Creating and updating social media for online exposure of business
Working in an office, or in the field
Maintaining the office with light cleaning and organizing
Reporting all problems with management while out in the field or in the office
Getting along with and being likable with all the people in the office, people out in the field and people in the public
Maintaining a valid driver’s license, auto insurance and solid running/ presentable vehicle
A bonus skill however not required
Bonus pay for Admin who can generate leads, introductions, and contacts to support inside sales efforts. This is a opportunity for someone willing to put in after hour work and make extra money
Job Type: Full-time
Pay: $16.00 - $22.00 per hour
Expected hours: 40 per week
