About Us:
VIP Community Services, a Federally Qualified Health Center, has been providing vital social services to The Bronx community since 1974. We serve approximately 25,000 clients & patients annually through various social service care programs.
Responsibilities:
- Verify, update, and maintain patient demographic and personal information.
- Gather and electronically file patient information accurately and confidentially.
- Retrieve and release medical records promptly and accurately.
- Assist providers and staff in accessing patient information for care and administrative purposes.
- Conduct audits of medical records to ensure compliance with regulations and internal policies.
- Provide exceptional customer service to patients and stakeholders regarding medical records inquiries.
Quality Assurance and Compliance:
- Conduct regular audits of medical records to ensure compliance with regulatory standards and internal policies.
- Identify and rectify discrepancies or errors in patient records, collaborating with relevant stakeholders to resolve issues promptly.
- Stay updated on changes in healthcare regulations and industry best practices related to health information management.
Customer Service and Communication:
- Provide exceptional customer service to patients, healthcare professionals, and other stakeholders regarding inquiries related to medical records and health information.
- Communicate effectively with internal departments, external agencies, and third-party vendors regarding medical record requests, releases, and related matters.
- Cover VIP’s Health Services’ front desk, as needed.

Requirements
- High school diploma or equivalent; associate’s degree in health information management or related field preferred.
- Proficiency in Spanish or French preferred.
- Previous experience in healthcare administration or medical records management is advantageous.
- Familiarity with electronic health records systems and HIPAA regulations.
- Strong attention to detail, accuracy, and confidentiality.
- Excellent organizational, multitasking, and communication skills.
- Proficient computer skills, including MS Office Suite and data entry.
