POSITION SUMMARY: The OTP Practice Administrator is a key member of the opioid treatment program responsible for oversight of daily program operations, administrative support staff, and compliance with regulatory standards. Promotes and maintains a positive and professional atmosphere and ensures quality patient care and services. This role requires a collaborative management approach working alongside the Medical Director, Program Director, and Director of Nursing. POSITION
DESCRIPTION: • Manage and supervise the daily operations of the Opioid Treatment Program (OTP).
• Develop and implement administrative policies and procedures and best practices to streamline workflows and improve efficiency.
• Oversee administrative staffing, scheduling, and employee performance to ensure optimal productivity.
• Supervise the front office/receptionist procedures and develop good patient/provider workflow and appropriate appointment scheduling.
• Ensure accurate and timely data entry and document scanning.
• Manage and distribute reports on admissions/discharges, daily services, provider/resource productivity, unlocked notes, clients missing from care, etc.
• In collaboration with the Medical Director, ensure adequate provider coverage, utilization of perdiem providers and approval of time off requests.
• Manage the inventory of office/medical supplies and review/approve purchase orders.
• Communicate equipment needs such as repair, preventative maintenance or request for equipment to the FTS and IT Departments.
• Ensure compliance with all applicable operating regulations and VIP standards and participate in all recertification applications/reviews within areas of responsibility.
• Review and approve personnel actions for all employees within designated area of responsibility, including recruitment, hiring, evaluation, promotion, disciplinary action, and separation of program staff.
• Assure that all staff members are trained in and adhere to VIP policies and applicable regulatory standards.
• Prepare written annual evaluations for all direct reports and ensure the evaluations are completed accurately and objectively for all employees within designated areas of responsibility.
• Monitor operating budgets in areas of responsibility, making recommendations to maximize revenue collection and improve cost efficiency, allocations, and expenditures.
• Conduct scheduled management meetings with all direct reports.
• Other relevant duties as assigned.
Requirements
JOB QUALIFICATIONS:
• Bachelor’s degree in healthcare administration, business administration, or a related field. Master's degree is highly preferred.
• Minimum of two (2) years’ experience in healthcare administration or management roles required, with experience in outpatient substance use/mental health treatment preferred.
• In-depth knowledge of healthcare regulations, compliance, and industry standards.
• Strong leadership, organizational, and decision-making skills.
• Excellent communication and interpersonal abilities.
• Proficiency in healthcare management software and Office 365.
• Bilingual English/Spanish a plus.
JOB SETTING:
• Medical office setting.
• Must possess sight, hearing and digital senses or prosthetics that ensure the completion of the essential functions of the Nursing Supervisor, Mobile Medication Unit. • Occasionally must lift a maximum of 10 lbs.
Salary : $85,000 - $95,000
