Position Overview :

We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our office, namely booking jobs, schedule management, and payment follow-ups with our customers. The ideal candidate will possess excellent communication skills, a positive attitude, and the ability to handle multiple tasks efficiently in a fast-paced environment. This role is essential in driving company growth, ensuring smooth administrative operations and providing support to various teams across the organization.

Key Responsibilities :

Administrative Tasks :

  • Respond to cleaning job inquiries.
  • Assist with scheduling and SELLING cleaning bookings.
  • Answer phone calls, route them appropriately, and take messages when necessary.
  • Greet and assist visitors in a professional and welcoming manner.
  • Follow-ups with our customers to ensure timely payment.
  • Maintain and organize company supplies, ensuring stock levels are adequate.
  • Prepare and distribute internal and external communications as directed.
  • Coordinate travel arrangements and accommodation bookings for staff members.
  • Maintain and organize physical and digital filing systems.
  • Assist with creating and formatting documents, presentations, and reports.
  • Manage office calendars and handle day-to-day scheduling needs.
  • Data Entry & Record Keeping :

  • Input data into company databases and maintain accurate records.
  • Assist with the preparation of reports and documents for management review.
  • Track and process incoming / outgoing correspondence with current and potential customers.
  • Support to Other Departments :

  • Assist HR or accounting departments with data entry, filing, and document preparation.
  • Provide administrative support to different teams or management as needed.
  • Customer Service :

  • Provide exceptional service to current and potential clients and vendors.
  • Manage office communication, ensuring queries are directed to the correct parties.
  • Required Qualifications :

  • High school diploma or equivalent.
  • Proven experience as an administrative assistant, office assistant, or in a similar role.
  • Strong, vibrant phone skills with a desire to book jobs and be a pivotal part of our growth.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Bonus Qualifications :

  • Experience with office management software or tools (e.g., Google Workspace, Microsoft Teams, Slack).
  • Knowledge of office accounting software (QuickBooks, etc.) a plus.
  • Salary Range :

  • 15 - 20 / hour base pay
  • Incentive compensation ranging from 10-30% of base pay
