Responsibilities and Duties:
- Follow all company policies, procedures, rules, and regulations (written or verbal).
- Enter itineraries for upcoming trips, ensuring all information (addresses, phone numbers, emails, POC information, etc.) is accurate.
- Scan customer-sent itineraries into the booking system for departmental reference.
- Upon receiving the final itinerary, ensure Sales approval for accuracy, quotes, and regulatory compliance.
- Replace any previous itinerary versions with the finalized version.
- Collaborate with the Sales team to understand their customers, work styles, and how to best support each other.
- Handle calls and emails for the Sales team to ensure excellent customer service.
- Mark trips as complete in the system once finalized.
- Respond promptly to customer inquiries regarding their trips.
- Conduct a final check 18 days prior to the trip to confirm or correct:
- Trip status and confirmation
- Signed contract (if required)
- Final payment status and accurate invoicing
- Final itinerary, including boarding details (if necessary)
- Trip point of contact information
- Passenger count and vehicle requirements
Education, Skills, and Requirements:
- At least 5 years of customer service experience, preferably in the transportation industry (but not required).
- Proven success in managing customer relationships.
- Professional appearance and adherence to company dress code policies.
- Strong technical skills and proficiency in using systems and technology.
- Adherence to company attendance policies.
- Ability to work collaboratively and cooperatively with colleagues at all levels.
- Patience and the ability to receive and provide constructive feedback.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
