Job Summary
The Office Administrative Assistant will play a key role in ensuring the smooth operation of office functions by providing high-level administrative support including coordinating schedules, travel accommodation and assisting the Human Resources dept. This role requires strong organizational skills, a proactive mindset, and the ability to manage multiple tasks efficiently. The ideal candidate will have at least five years of administrative experience, demonstrating expertise in office coordination, document management, and cross-functional support.
Key Responsibilities
Executive & Leadership Support
Serve as the primary administrative point of contact for company executives and various departments.
Manage executive calendars, coordinate meetings, travel arrangements, and event planning.
Prepare detailed reports, presentations, and data analysis for leadership teams.
Handle confidential and sensitive information with discretion.
Office Administration & Workflow Optimization
Manage office communications, including answering calls, emails, and correspondence.
Order office supply inventory, handle vendor coordination, and facility management needs.
Provide general administrative support to staff as needed.
Maintain and improve office workflows, ensuring efficiency and accuracy in administrative processes.
Manage document accuracy rate, maintaining records, files, and databases with a high degree of precision.
Ensure the office environment remains clean, organized, and compliant with company policies.
Cross Departmental Coordination & Communication
Support HR and operations, including onboarding, policy communication, and training coordination.
Partner with HR and Marketing to coordinate office events, training, and employee engagement activities.
Prepare and distribute company-wide communications and reports.
Ensure adherence to company policies, including office safety and operational guidelines.
Qualifications
Bachelors degree in Business Administration, Office Management, or a related field preferred.
Minimum of 5 years of administrative experience, preferably in a corporate or office environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and multitasking abilities to work in a fast-paced environment.
Excellent verbal and written communication skills.
High attention to detail, ensuring accuracy in documentation and workflow management.
Ability to handle confidential information with professionalism and discretion.
Proven ability to work independently and proactively problem-solve.
Experience in office process improvements, traveling coordination, project management and workflow optimization is a plus.
