Summary/Objective
The Administrative Coordinator is responsible for maintaining accurate and complete client financial files, tracking facility billing, processing all checks for deposits, and performing administrative support tasks.
Essential Functions
- Provides direct daily support to the Senior Director.
- Performs all reference checks for applicants.
- Prints and submits all referral packets to Senior Director daily.
- Sends out accept/deny letters and documents in the tracking log for all state referrals.
- Compiles and submits monthly statistical reports.
- Attend meetings and take notes.
- Inventories and maintains facility-wide supplies.
- Codes expenditures and monitors them against the monthly budget.
- Periodically speaks with employers, DOC, courts, and other agencies as required.
- Deposit State residents' checks and cash.
- Check the safes daily.
- Works with Sheridan to print checks. (Release, withdraws, and COMO payments)
- Enters billing for clinical services.
- Does orientation with new state residents about the financial guidelines.
- Grievance Manager for all state and federal residents.
- Other duties as assigned.

- Ability to effectively work with various computer software programs, including Microsoft Word, Excel, PowerPoint, and Desktop Publishing.

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops, photocopiers, and smartphones.

While performing the duties of this job, the employee is regularly required to talk or hear. This job's specific vision abilities include close vision and adjusting focus. This would require lifting files, opening filing cabinets, and bending or stooping as necessary.
Position Type/Expected Hours of Work
This is a full-time or part-time status dependent on the position hired. Days and work hours are generally Monday through Friday, 8:00 a.m. to 5:00 p.m. Part-time hours rely on the program's need.
Travel
Little to no travel is expected for this position.
Required Education, Experience, or Eligibility Qualifications
- Associate degree in business plus two years’ experience in related administrative work
OR
- High School diploma or equivalent plus four-year experience in Administrative related work
- Proficient in Microsoft Suite
- Proficient in QuickBooks
Preferred Education and Experience
- Associate degree in business
- Two years’ experience in similar administrative work
