Position Summary
This position will ensure that Volunteers of America, Utah is accurately managing the donor record database and processing and acknowledging gifts. In addition, this position generates and analyzes a variety of reports from the database, provides training on the database, and supports the Development Department’s fundraising campaigns.
Essential Duties
- Maintain, update, and oversee the accuracy and integrity of all donor records in Raiser’s Edge.
- Regularly audit and ensure the data is accurate, with consistency of format in all donor records. Ensure all data is properly captured, including donor and corporate information (email, address, phone number, etc.).
- Develop and implement protocols for data entry and record-keeping.
- Oversee data imports and exports, ensuring seamless integration with other platforms used by the agency.
- Process incoming gifts, including online donations, checks, matching gifts, and in-kind donation receipts.
- Ensure timely and accurate gift entry, tracking and reconciliation with finance to maintain accurate financial reporting.
- Generate donor acknowledgements and receipts in a timely manner, collaborating with the Development team to personalize communication for key donors.
- Develop and generate regular reports on donor metrics, campaign results, giving trends, and other key performance indicators to inform development strategy.
- Analyze donor data to identify trends, assess retention rates, segment donors, and support strategies for donor acquisition, engagement and retention.
Non-Essential Duties
- Collaborate with Development Director to create dashboards that provide a visual overview of progress toward fundraising goals.
- Assist in the planning and execution of all fundraising events.
- Manage event-related data in VOAUT database, ensuring accurate tracking of attendees, sponsorships and donations.
- Train Development staff and other team members as needed on database use, data entry protocols, and reporting tools.
- Act as the primary contact for troubleshooting and resolving database issues, working closely with the software provider’s technical support when necessary.
- Develop and update training materials and documentation for database users to ensure efficient and consistent data management practices with the Development Director.
- Support the Development team in planning and executing annual giving campaigns, special appeals, and major fundraising events by managing data segmentation and mailing lists.
- Provide database support for online fundraising campaigns, direct mail, and email campaigns, ensuring accurate targeting for more personalized communication.
- Track campaign progress in real time and provide insights to the team to optimize outreach and engagement strategies.
- Regularly clean the database to ensure errors are fixed, duplicates have been merged.
- Create custom queries and reports for monthly, quarterly, and annual reporting, and other reporting requests from Development team.

- Bachelor’s degree in computer science or information systems and Database Management preferred or equivalent combination of education and experience.
- Proficiency with MS Office and Raiser’s Edge database is strongly preferred. Able to learn computer programs and databases.
- Ability to prepare, analyze, interpret, and report on agency data.
- Excellent written and verbal communication skills, including customer service skills.
- Enthusiastic, organized, detail oriented; able to prioritize projects and meet deadlines.
- Comfortable interacting in a positive, professional manner with diverse team members at all levels of the organization including Senior Leadership, Board Members, staff, donors, volunteers, community organizations, and vendors; must be team oriented and collaborative.
- Ability to uphold professional boundaries, confidentiality regulations, agency policies and procedures, and interact in a professional manner with a diverse workforce, clients, and the public.
- Willingness to accept supervision and direction.
- If driving is a part of the job, must be at least 21 years of age, possess a current driver’s license, have a good driving record, and be insurable on the agency liability policy.
- Must be able to pass background screening and pre-employment drug screen.
- Occasionally work outside of regular office hours to coordinate and attend external events.

- Ability to walk up and down stairs.
- Ability to lift and carry 25 lbs. and engage in set up/take down of event equipment, banners, and pop-up tents, loading/unloading vehicles, and maneuvering carts.
