Position Overview :
The Operations Manager will be responsible for overseeing firm-wide operations, managing attorneys and support staff, optimizing workflows, and ensuring compliance with legal regulations. This role requires a strategic leader with a deep understanding of management, financial oversight, human resources, and business development initiatives.
Key Responsibilities :
Strategic Planning & Firm Operations :
- Partner with managing attorneys to develop and execute firm-wide goals, aligning operational practices with client-focused outcomes.
- Direct firm-wide projects, ensuring alignment with strategic objectives.
- Oversee day-to-day operations, ensuring seamless functionality and efficiency across departments.
- Develop and implement scalable processes to support firm growth and sustainability.
- Plan and coordinate weekly and quarterly team meetings, as well as the yearly in person team meeting and holiday party.
Case & Workflow Management :
Work with Production Manager to develop and enforce workflows for case tracking, ensuring deadlines are consistently met.Implement scheduling protocols to optimize attorney-client meeting availability and workload balance.Streamline document preparation and review processes.Financial Oversight :
Oversee billing processes, and optimize accounts receivable (A / R) to maintain financial health.Coordinate with bookkeepers and managing attorney on monthly billing.Collaborate with the accountant to ensure compliance with financial regulations and reporting standards.Coordinate IOLTA transfers.Assist with oversight of operating account, and projections.Set and help facilitate monthly and quarterly goals.Human Resources & Compliance :
Supervise attorneys, administrative staff, paralegals, and support personnel, fostering a professional and collaborative work environment.Conduct regular performance evaluations, including quarterly and annual reviews.Oversee hiring, onboarding, and termination processes, ensuring compliance with employment laws.Manage payroll processes (Gusto), PTO tracking, and benefits administration, including health insurance and 401(k) plans.Partner with legal representation to develop and implement the firm’s employee handbook.Ensure HR compliance with employment laws across multiple states and oversee workers’ compensation audits.Business Development & Marketing :
Coordinate attorney business development initiatives, tracking outreach efforts and ensuring alignment with firm goals.Partner with the marketing team to develop campaigns that drive client engagement and new business opportunities.Oversee the development and implementation of new service offerings to expand the firm’s portfolio.Legal & Ethical Compliance :
Ensure firm compliance.Handle compliance requirements for malpractice insurance, workers' compensation, and other business insurance policies.Operational Efficiency & Systems Development :
Develop time budgets, task lists, and document templates to enhance efficiency and standardize workflows.Track team’s time in Clio and Gusto.Create comprehensive manuals for processes to promote operational consistency.Manage all firm-related travel arrangements.Preferred Qualifications & Skills :
Proven experience in operations, or equivalent experience.Strong leadership and team management skills.Deep understanding of billing and financial oversight.Expertise in HR management, including payroll, compliance, and employee benefits administration.Proficiency in legal software and case management systems.Strong problem-solving and strategic planning abilities.Excellent communication and interpersonal skills.High attention to detail and ability to multitask in a fast-paced environment.Bonus Skills :
