Position: Assistant Director, Financial Aid and Scholarships
Department/Division: Financial Aid/Enrollment Management
Salary Range: $45,000 - $50,000
FLSA Classification: Salaried, Exempt
Position Type/Duration: Full Time/12 months
Position Schedule: 8:00 am – 5:00 pm Monday - Friday (some extended hours and travel may be required)
ESSENTIAL FUNCTIONS
- Analyze and interpret regulations and implement policies and procedures established by funding agencies and/or the institution to ensure pro ram compliance and the institutional integrity of its financial aid and scholarship program.
- Formulates policies and procedures to address the unique needs of the University and the students it serves.
- Establishes and ensures the implementation of internal policies and procedures relative to packaging and awarding federal, state, institutional and private aid to ensure no audit findings.
- Coordinate office activities with other administrative offices to initiate new procedures; install new technology, identify problems, and implement solutions to improve the effectiveness of the financial aid operation.
- Coordinate the processing and submission of the institution's federal fiscal operations report (FISAP) and application for funding, account for the utilization of funds, and complete statistical reports and surveys.
- Administer all Title IV funds Programs as well as all other state supported financial aid programs, and institutional aid programs to ensure no audit findings.
- Provide management, supervision and direction for a staff of three professionals and 1 support staff.
- Develop an ongoing training program for staff and evaluate productivity.
- Serve as primary liaison to Computer Services and coordinate the technology training for the staff:
- Oversee and coordinate the U.S. Department of Education Electronic data Exchange and the PowerFAIDS financial aid processing system to ensure that all appropriate updates are installed and staff trained.
- Conduct and/or assist with on and off campus community education programs (Financial Aid Nights at area high schools and Financial Aid Awareness activities on the campus).
- Develop and publish sound financial aid policies and procedures in keeping with the institution’s mission, goals and philosophy.
- Develop and distribute accurate and timely aid information and instructions to parents, students and the community. Develop realistic student aid budgets in compliance with federal regulations.
- Develop financial aid packages to meet the needs of our students and award accordingly.
- Authorize and supervise the transfer of funds to the Business Office for disbursing to student accounts.
- Counsel students and parents regarding financial aid programs, the availability of aid and the process that must be completed to receive aid.
- Responsible for developing office policies and procedures to ensure programmatic integrity and excellent customer service.
- Complete staff evaluations and make recommendations regarding the evaluations, promotions or dismissals.
- Coordinate activities with the Registrar’s Office, the Admissions Office, the Business Office, Student Services, etc., to ensure students receive all eligible services and aid in a timely manner.
- Process and submit the electronic report for requesting of the South Carolina Tuition Grant Program.
- Reconciliation of the SCTG program. Review and ensure that all SCTG awardees eligibility are met prior to requesting State Grant Funds.
- Process and submit the electronic report for requesting of the South Carolina LIFE and HOPE Scholarship programs funds for eligible students.
- Prepare South Carolina LIFE, HOPE, and SCTG scholarship transmittals for submission to the Business Office for crediting to student’s account.
- Reconcile SC LIFE and HOPE Scholarship funds with the SC Commission on Higher Education and the Institution’s Disbursement Report to ensure no audit exceptions in the state grant programs.
- Prepare Washington, DC LEAP, DC CAP, and DC Tuition Transmittals and request from The District of Columbia and submission to the Fiscal Affairs office for crediting to student’s account.
- All other duties as required by the Director for the successful operation and management of the Financial Aid Office, and state, federal and private financial aid programs it administers for Voorhees University.

EDUCATION
- Bachelor’s Degree required; Masters preferred
- Previous experience in Financial Aid roles at other higher education institutions required
