The Operations Support Supervisor is a key business critical position within Vopak. The position requires individuals to convert business planning into an efficient shift plan and goals by leading teams of 2 people. The job therefore demands excellence in areas such as people leadership, motivation and engagement, change implementation and team management.

What do we expect from you as a Operations Support Supervisor?

  • Grade 12 or equivalent (Must)
  • Degree/Diploma in Chemical/Mechanical Engineering or in Business/Operations Management or Equivalent
  • 3-5 years background of process / Petro-chemical industry
  • Proven ability to Lead, Influence & Inspire others

What does your day look like?

Some of the operational elements of the Operations Support Supervisor include:

  • Management of the scheduling and execution of all operational activities on all sites and berths including all shipping activities to ensure timely and safe completion of all customer requirements as per procedures, work instructions, quality and Safety requirements with optimum use of all resources on site.
  • Oversees the administration of operational processes and stock control. Also, responsible to coordinate the repairs and maintenance of all defective equipment on the site with support from the Technical, SHEQ and other departments.
  • Management of human resources, including staff performance management, industrial relations and development.

Your core responsibilities are:

1. Leadership:

2. Management/Situational

  • Performs risk assessments and scoping of non-standard activities: tank washing and LOTO verification on site
  • Conducts routine monitoring and SOR to ensure compliance to safety procedures and quality adherence on site
  • Ensures that all operational equipment is in good working condition at all times, and all quality management systems are kept up to date
  • Responds to incidents i.e. spills, etc.
  • Fosters the Quality awareness of staff and leads their efforts to continuously improve the work procedures and quality of operations on site
  • Facilitate the identification of staff developmental needs and provides mentoring and coaching of staff
  • Controls absenteeism, time and attendance, and ensure consistent application of the company policies
  • Support the drawing up and control of the site expense budget.
  • Authorizing of Contractor work permits on site and routine inspection of Contractors on sites in terms of Safety
  • Implementation of Vopak minimum standards and ensuring SHEQ compliance
  • Ensures that general housekeeping on site is of a high standard.
  • Control of operational activities within Operations Support while maintaining the safe and efficient provision of service to the continuous shift and technical teams to ensure service levels are maintained
  • Coordinate, plan and assign work on the basis of work orders and planned activities
  • Ensure optimal utilization of resources and ensure effective deployment of staff
  • Instruct and support staff (including others) of the processes to follow, and the priorities of execution on site
  • Motivating and supporting the operational staff in the execution of the work
  • Instruct, monitor progress, taking measures in case of deviations / blockages (include assessing the suitability of the infrastructure concerned), and informing the relevant departments
  • Identify, manage and report on amendments to plans, ensuring all departments concerned are kept up to date and considering the impact to service levels,
  • Promotion of a flexible execution in order to minimize impacts on service disruptions, and an optimum utilization of the available capacity
  • Maintain the training and skills levels of team in accordance with job requirements and operations training matrix for operations-execution
  • The safe and efficient execution of operational preparatory work (including planning, documentation, engagement with departments, approvals etc.) together with technical and operational teams in accordance with standards and procedures
  • The safe and efficient execution of work taking systems out of service (including cleaning, LOTO, DSCE, etc.)
  • The safe and efficient return to operations of facilities (including cleaning, removing LOTO, etc.)
  • Providing support in solving operational disruptions
  • Maintaining the effective management of the WWTP, VRU and other support systems and supporting the operations - execution shift teams on effectively utilizing the support systems with training as required
  • Ensure the continuity and proper coordination of activities between team and other departments
  • Identification of improvements in operations support to the organisation, and provide management information about the maintenance operations
  • Monitoring and control resources; equipment, tank cleaning, waste etc. within budget controls
  • Reporting, follow up and closure of reports in Enablon / ME2 as required
  • Create and/or participate in various consultation groups (including daily planning meeting)
  • Providing input to operational RAs, MOC, procedures etc. as required
  • Support in the execution of incident investigations as required
  • Ensure the desired service level, both internally and externally and subsequent control
  • Capture the execution of the tasks associated administrative requirements and report on the progress and deliverables
  • Ensure compliance with corporate, security, safety, health and environmental and transportation regulations and ensure an orderly and clean facility is maintained at all times
  • Ensure the proper use and maintenance of facilities / equipment within the team. To this end, among other things:
    • (do) conduct observation rounds
    • Discussing complaints with its employees; picking up non-standard situations and report accordingly
  • Support the maintenance of personal safety of staff and third parties to ensure the proper application and compliance with the licensing procedures / safety standards at Vopak
  • Manage human resources so that the team can function effectively and efficiently within the prescribed HR and occupational health and safety policy. To this end, among other things:
    • Ongoing development / performance appraisals and assessment interviews
    • Ensure employment consultation and information transfer
    • Ensuring the incorporation and training of new employees; provide and maintain the necessary skills of employees
    • Maintenance of time and attendance and performance using the supportive systems / tools etc.
    • Promoting good cooperation, flexibility and a good working atmosphere
  • Continuous coordination within the department and across functions for the most efficient deployment of staff for effective delivery of service
  • Continuous engagement with team to maximise the transfer of knowledge and engagement. Consult with Operations Officer, continuous Operations Support Supervisor, Planner, Maintenance Scheduler and technical Supervisors. Discuss details at shift change, coordinate with continuous shift colleagues
  • Coordination and work with operations, technical personnel and contractors, customer service, SHEQ and other third parties
  • Attention and accuracy required for the work implementation and enforcement / compliance with safety, health and environmental regulations
  • Support for audits as required
  • Provide input into continuous improvement projects and where requires support in implementation of such
  • Set and track KPIs for your team and report regularly through the organisation
