About the Role:
We are seeking a motivated and experinced Dental Office Manager to oversee the daily operations of our dental speciality practice. We offer almost all specialties in the dental industry, plus cosmetic dentistry. Key Responsibilities:
Leadership & Team Management:
- Manage daily office operations to ensure efficiency and a positive workflow.
- Recruit, train, and supervise office staff, ensuring a high standard of professionalism.
- Conduct regular staff meetings to communicate updates, address concerns, and foster team collaboration.
- Create staff schedules and maintain adequate coverage to meet patient needs.
Patient Coordination:
- Deliver exceptional customer service, ensuring patients are the top priority.
- Oversee patient scheduling to optimize the dentist’s and hygienist’s time.
- Explain treatment plans, costs, and payment options to patients in a clear and professional manner.
- Address patient inquiries, concerns, and feedback to enhance satisfaction and retention.
Administrative & Operational Duties:
- Manage and maintain patient records, ensuring confidentiality and compliance with HIPAA regulations.
- Oversee insurance claims processing, including pre-authorizations, submissions, and appeals.
- Ensure compliance with OSHA, HIPAA, and all other dental regulations.
- Develop and implement office policies and procedures to streamline operations.
- Monitor and order dental supplies, equipment, and office materials.
- Troubleshoot dental software and ensure the team is well-trained in its usage.
Financial Oversight:
- Manage office budgets, accounts payable/receivable, and expense monitoring.
- Oversee billing processes, including patient payments and insurance claims.
- Analyze financial and operational reports, including revenue, expenses, and patient flow, and present metrics to the practice owner.
- Identify areas for cost savings while maintaining quality patient care.
Marketing & Growth Initiatives:
- Lead local marketing efforts, including social media and community outreach, to increase brand awareness and attract new patients.
- Monitor online reviews and work to maintain a positive reputation.
- Oversee patient referral programs and engagement strategies.
Qualifications:
Education & Certification:
- Bachelor’s degree in business administration, healthcare management, or a related field (preferred).
- Minimum of 5 years of dental office management experience (required).
- CPR certification (or willingness to obtain).
Language:
Bilingual is a must
Skills & Experience:
- Proficiency in Dentrix or other dental practice management software.
- Familiarity with treatment coordination and insurance claims processes.
- Strong leadership and team-building skills with the ability to motivate and manage staff effectively.
- Exceptional organizational, multitasking, and problem-solving abilities.
- Professional appearance and demeanor consistent with a high-end practice.
- Financial acumen with experience managing budgets and office metrics.
