Summary/Job Scope
The Pension and Benefits Specialist is responsible for administering and managing employee pension and benefits programs specifically within the United States. This position will report directly to the Head of Total Rewards. This role includes ensuring working closely with the Total Rewards team, regulatory compliance, providing support and education to employees, and working closely with vendors to enhance benefit offerings. The specialist will act as a subject matter expert, guiding employees through various benefit and retirement options, maintaining accurate records, and analyzing program effectiveness.

Key Responsibilities
- 401 (K) Administration
- Administer employee pension plans, including defined benefit and defined contribution plans, and assist with annual reporting and plan audits.
- Manage plan documentation and ensure compliance with ERISA, IRS, DOL, and other applicable federal/state regulations.
- Assist vendor with pension-related inquiries, retirement calculations, and payouts.
- Benefits Administration
- Administer and oversee employee benefits programs (medical, dental, vision, disability, life insurance, 401(k), etc.) and various additional voluntary
- Conduct benefits enrollment, changes, terminations, and annual open enrollment process.
- Maintain benefits records, update changes, and coordinate with payroll for accuracy.
- Employee Support and Communication
- Provide responsive support to employees on 401(k) pension and benefits-related inquiries.
- Educate employees on pension and benefit plans and assist with understanding plan options, costs, and advantages.
- Prepare and deliver benefits communication materials and conduct informational sessions.
- Vendor Management and Program Evaluation
- Work with third-party vendors, brokers, and insurers to manage benefits offerings, resolve issues, and optimize plan performance.
- Analyze utilization, cost, and employee satisfaction metrics to ensure program effectiveness.
- Participate in annual review of benefits programs, recommend enhancements, and implement new offerings as needed.
- Compliance and Reporting
- Ensure benefits and pension programs comply with regulatory requirements, including COBRA, FMLA, HIPAA, and ACA.
- Maintain accurate records for audits, filings, and reports (Form 5500, etc.) and assist with government filings as required.
- Monitor legislative changes that may impact benefits programs and recommend updates as necessary.
- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience).
- 3 years of experience in pension and benefits administration, with strong knowledge of regulatory requirements.
- Familiarity with HRIS and benefits administration software. (SAP preferred)
- Strong analytical skills and experience with cost analysis and benefits utilization data.
- Excellent communication skills and ability to explain complex benefit concepts to employees.
- Certification in Employee Benefits (CEBS) or related credential is a plus.
- Detail-oriented with excellent organizational and time-management skills.
- Strong interpersonal skills and customer-service mindset.
- Ability to manage multiple priorities and work collaboratively in a team environment.
- Proficiency in Microsoft Office Suite, particularly Excel, and data analysis tools.
- Familiarity with learning technologies and e-learning platforms.
- Strong communication and interpersonal skills.
- Ability to collaborate effectively with cross-functional teams and adapt to a dynamic work environment.
