Position Summary

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the President of our Retail Wealth Management business. This role requires a detail-oriented professional who can manage complex calendars, coordinate high-level meetings, and facilitate effective communication within the organization. The ideal candidate will possess excellent interpersonal skills, a strong sense of confidentiality, and the ability to thrive in a fast-paced environment. This role will require an in-office hybrid work schedule. (200 Park Avenue)

Key Responsibilities

Calendar Management: Manage the President's calendar, including scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands.

Communication: Serve as the primary point of contact for internal and external stakeholders, ensuring timely and effective communication on behalf of the President.

Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for meetings attended by the President, ensuring all relevant materials are organized and accessible.

Project Support: Assist in the planning and execution of special projects and initiatives, providing research and analysis as needed to support decision-making.

Documentation: Prepare, edit, and distribute high-quality correspondence, reports, presentations, and other documents for the President.

Confidentiality: Maintain a high level of confidentiality regarding sensitive information and matters related to the President and the business.

Office Management: Oversee office operations, including supply management, vendor coordination, expense/ PCard reconciliation, and ensuring a productive work environment.

Team Collaboration: Work closely with other executive assistants and team members to streamline processes and improve overall efficiency.

Qualifications

  • High school diploma required. Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • 5 years of experience as an executive assistant or in a similar role, preferably in the finance or wealth management industry.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with project management tools.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to interact with all levels of the organization and external partners.
  • Strong problem-solving abilities and a proactive approach to tasks and challenges.
  • High degree of professionalism, discretion, and integrity in handling confidential information.

Compensation Pay Disclosure

Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.

The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.

Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.

$71,970 - $89,960 USD
